Page 14 It can also be a matter of time and convenience. With Microsoft Producer, you can choose to post presentations to a corporate network location or intranet site. While this enables wide distribution, it also provides another benefit as well: it lets employees view the presentation on-demand, when their schedule allows for it. The following are some examples of situations in which Microsoft Producer can be used to create presentations for internal corporate communications. Online Company-wide Meetings An online company meeting lets your company deliver important information to all of its employees online. Given the large size of companies today, and the ever changing landscape of business, it s often difficult for companies to inform their employees about important changes or news that affects the company and how it does business. Microsoft Producer lets you quickly create an online presentation that communicates this important information. For example, news might come out that concerns employees, whether it s a change in management, a new corporate structure, or just information that could affect employee morale. A presentation created in Microsoft Producer could feature key management representatives discussing the changes. If the meeting is to discuss changes in management structure, you could incorporate Microsoft PowerPoint slides that contain an organizational chart showing the new management structure. While the slides display in the presentation, you could include video that shows managers explaining these changes. After you record the presentation, you could publish it to your corporate intranet. This lets employees, shareholders, or journalists see the meeting when they have the time. Creating Training Events Computers have changed the way training is accomplished within companies. Over the past few years, computer-based training has become extremely popular. However, some existing computerbased titles can be expensive, and at times ineffective if they do not meet your company s specific needs. This is where Microsoft Producer can be beneficial for your company. Producer lets you quickly create online training classes, and then redistribute these classes over the company s network, intranet, over the Web, or by using a third-party e-service provider. With Microsoft Producer, you can design online training classes for a wide variety of topics. Presentations can be designed to teach about both computer and non-computer topics as well. Creating Online Software Training Software training has traditionally been provided in a classroom environment. However, making sure employees get the training they need can be difficult in a modern corporate

Page 15 setting due to the time and distance issues related to coordinating a computer trainer s time with company employees. Perhaps more importantly, companies have to invest a lot of time and resources for computer training. By using Microsoft Producer, the time and resources it takes to make an online training class can be significantly reduced. In Microsoft Producer, the training presentation could feature a variety of digital media that help staff and employees learn about a software application. The video for your presentation can be recorded during an actual training class, and then repurposed for distribution on a company-wide basis. For example, the video portion of the presentation could combine video of the computer trainer describing procedures and video screen captures of the steps being accomplished. The presentation can also contain slides that list, in step-by-step procedures, the commands or features demonstrated in the video. After this presentation has been created, you could then post it to a corporate intranet site. By putting the presentation online, users can view the presentation at any time whether for newemployee training or to refresh their knowledge of the tasks shown in the presentation. If necessary, the presentation (or a group of presentations) could be copied to a CD so other employees can play these presentations on their own computers when they are not connected to the corporate network or Internet. 11 discusses how to copy a presentation to a recordable or rewritable CD. Creating Non-computer Training Typically, people associate online training with computers classes, but your corporation could easily use Microsoft Producer for other training needs. For example, you could create presentations to train sales and marketing staff on non-technical issues, such as key points about new products in a company s product line. In presentations such as this, videos and still images could be shown while slides appear presenting technical issues or specifications for the product they are selling, regardless of what type of product the staff is going to be selling. Distance Learning and Online Classes Many of the scenarios up to this point have concentrated on business needs and corporate audiences. However, distance learning classes have become popular at a growing number of universities. Producer can be used to create presentations for this kind of instruction. Professors or instructors can record their class lectures and synchronize the video or audio with Microsoft PowerPoint slides, and then post the entire presentation on a Web site that is only accessible to students in this class. By providing lectures or other class presentations online, students can have access to previous class sessions and materials. Furthermore, within the presentation, links could be placed so that students can download any additional class handouts.
