Tip An easy way to share your contact data with other people is by sending them a vCard, an electronic business card that the recipient can save to his or her contacts list. The vCard standard was created by the Internet Mail Consortium and is supported by all major e-mail programs. To create your own vCard in Microsoft Office Outlook 2003, on the File menu, point to New, and then click Contact. In the Untitled Contact window, enter your contact information. On the File menu, click Export to vCard file, type a name in the File name box, and then click Save.

The USB flash drive is the floppy disk of the 21st century. It is a small data storage device, barely bigger than a key chain, that you can plug into the USB port of any computer. Windows XP recognizes the USB flash drive as a removable storage device, like a mini disk drive. USB flash drives are available from most computer peripheral retailers.

In the My Computer folder, double-click the USB Drive icon to display a list of the files stored on the drive. You can then use the files like you would with files stored on any other storage device.
Tip USB flash drives are limited by the amount of memory on the device, but they are usually adequate for sharing data (for example, presentations, documents, or spreadsheets) in most casual collaborative environments. 4 5

Remove the USB flash drive from the USB port. On the title bar of the My Computer window, click the Close button. The My Computer window closes.
Sharing Data by Using Infrared Data Transmission
Another efficient way to share data with others is to take advantage of infrared data transmission. The majority of mobile PCs support transmission of data to other PCs and devices using infrared. The Infrared Data Association (IrDA) has defined a standard for data transmission between devices. IrDA is short-range (usually less than 3 feet), has a slow transfer rate, and can be a little tricky to use because the two PCs need to be perfectly aligned for the data transfer to work reliably. But since most mobile PCs support this data transfer method, you can usually rely on it to share files with others. Not every mobile PC has infrared capabilities. To check your mobile PC, take a look at the bezel of your PC for a rectangle of dark red plastic approximately one half inch across flanked by a helpful icon.
Using Your Mobile PC in Meetings
In this exercise, you will check the availability of infrared on your computer and send files to another PC using infrared data transmission.

BE SURE TO to have a second mobile PC with infrared data transmission capabilities available before beginning this exercise.
Click Start, right-click My Computer, and then click Properties. The Systems Properties dialog box appears. In the Systems Properties dialog box, click the Hardware tab, and then click Device Manager. The Device Manager window appears.
In the Device Manager window, scroll down the list until you locate the Infrared devices section. If the "Infrared devices" section does not appear in the list, your PC does not support infrared data transmission.
