If a user has chosen to encrypt files by using EFS, only that user can copy these files, and you cannot use the File Back Up wizard to implement or schedule a backup. In this case, you need to encourage the user to regularly copy the files and paste them to NTFS-formatted backup media. As an administrator, you can obtain a recovery certificate and decrypt files that another user has encrypted, but you would normally do this only in exceptional circumstances for example, if a user has left an organization and you need access to that user s files. Ian McLean When it comes to protecting files, the nightmare user is the one who carries files around in a USB flash memory pen drive so that they can be worked on anytime, anywhere there is a computer to plug the pen drive into. The very, very worst of these users are known as authors. USB flash memory is formatted as FAT and is more likely to lose data than an NTFS hard disk. Also, a device carried around in a pocket or briefcase is doubly vulnerable. Once, one such author was on vacation. He decided to do some writing under a sun parasol with a long, cool drink in his hand. It was a soft drink honest. He borrowed a laptop from some trusting soul in the next-door apartment, plugged in his trusty pen drive, and wrote for a couple of hours about SQL Server 2005. It s nice work if you can get it. Our hero saved his file, unplugged the pen drive, and put it in the pocket of his swimming shorts. He then returned the laptop to its owner and decided that another long, cool drink was in order. He finished his drink, relaxed in the sun for a while, and then jumped in the pool to cool off. You cannot schedule automatic backups of a USB flash memory device. It is even more difficult to protect the files on a device that lives in its owner s pocket. You need to persuade the owner in question to download from portable memory to hard disk. Many administrator tasks involve dealing with people problems rather than technical problems. Hopefully, most of your users won t be as dumb as that author. Scheduling Backups When you select the check boxes for the types of files you want to back up and click Next, the wizard asks you to schedule your backups, as shown in Figure 12-19. If you have not previously used the wizard to back up files, a backup will be performed immediately, as well as at the next scheduled backup time.

You should schedule automatic backups for a time of low activity. Users can continue to work at the computer during a backup. If any file is changed while it is being backed up, the changes to the file will not be backed up until the next scheduled backup. However, the performance of the computer degrades significantly during a backup. You should also avoid scheduling backups to occur at the same time as automatic Windows Update download and update installation or downloads of Windows Defender or virus definitions. Typically, backups are scheduled for around 7:00 P.M. If, however, a computer is heavily used in the evening (many home computers are), you might decide to schedule backups at midnight. When you have specified when backups should occur, click Save Settings And Start Backup. This saves the automatic backup settings and (if no backup has been made previously) starts the backup. The wizard scans for files to back up and then backs up these files to the location you have specified.
