The large window in the background is the report design window where you create the design of the report. This report is designed to display all the information about employees by department. You can see that the Design view for reports is similar to the Design view for forms. (For comparison, see Figure 2-14 on page 31.) Reports provide additional flexibility, allowing you to group items and to total them (either across or down). You can also define header and footer information for the entire report, for each page, and for each subgroup on the report.

Microsoft Office Access 2003 Inside Out menu or click the Toolbox button on the toolbar. You can click the title bar of the toolbox and drag it to another location. In the lower right of Figure 2-17, you can see a window titled qryRptEmployees. This is a field list containing all the fields from the tblEmployees table and related fields from the tblDepartments table that provide the data for this report. You might see this list near the top of the report s Design view when you first open it. If you don t see the field list, choose the Field List command from the View menu or click the Field List button on the toolbar. You can move the field list by dragging its title bar. After you place all the controls on a report, you might want to customize some of them. Do this by opening the Properties window, which you can see in the lower center of Figure 2-17. To see the Properties window, choose the Properties command from the View menu or click the Properties button on the toolbar. The Properties window always shows the property settings for the control selected in the Report window. (The Properties window can also display the properties for the report or any section on the report.) In the example shown in Figure 2-17, I clicked the text box named EmployeeNumber to select it. If you click this text box and click the All tab or the Data tab in the Properties window, you can see in the Control Source property box that Access displays the EmployeeNumber field from the tblEmployees table as the input data for this control. You can also specify complex formulas that calculate additional data for report controls. You might have noticed that Access made available some additional list boxes and buttons on the Formatting toolbar when you selected the EmployeeNumber control. When you click a text box in a report in Design view, Access enables drop-down list boxes on the Formatting toolbar that make it easy to select a font and font size. Access also enables Bold, Italic, and Underline buttons that let you set the text properties. To the right of these buttons are three buttons that set text alignment: Align Left, Center, and Align Right. You can also set the foreground, background, and border colors; border width; and special effects from buttons on this toolbar. Reports can be even more complex than forms, but building a simple report is really quite easy. Access provides report wizards that you can use to automatically generate a number of standard report layouts based on the table or query you choose. You ll find it simple to customize a report to suit your needs after the report wizard has done most of the hard work. You ll learn how to customize a report in 15, Constructing a Report, and in 16, Advanced Report Design.
