Microsoft Office Access 2003 Inside Out Next, you need to add the fields you want from the tblFacilityRooms table. You might be tempted to open the field list for the tblFacilityRooms table that you can see by itself in the Field List window. However, to make sure that the data access page knows how to link the two tables, you should open the Related Tables list below tblFacilities and then open the field list for tblFacilityRooms below that as shown in Figure 27-38. When you choose fields from the Related Tables list, Access correctly links the two tables in the record source for the page. In the toolbox, click the Control Wizards tool to enable the wizards. When you do this, the wizard helps you lay out the fields from the related table when you add them to the page. In the field list for the tblFacilityRooms table under Related Tables, hold down the Ctrl key and click the RoomNumber, RoomType, MaxOccupants, Smoking, Kitchenette, DailyRate, and WeeklyRate fields to select them. At the top of the Field List window, click the Add To Page button, and Access displays the Layout Wizard dialog box as shown in Figure 27-39.

Select the Tabular layout and click OK. Your data access page should now look like Figure 27-40.

Now you re ready to make your data access page look and work like a form with a subform. To do that, you need to group the fields from the tblFacilities table, which moves them up one level. Use your mouse pointer to select all the fields from the tblFacilities table ID, Name, Address, City, State, and ZIP Code. You can also select these fields by first clicking in the blank area of the data control to cancel the selection of the fields from the tblFacilitiesRooms table, and then hold down the Shift key as you click on the six fields from the tblFacilities table. Click the Group By Table button on the toolbar to move these fields into a new Header section. Your result should look like Figure 27-41.

1 Click the tblFacilityRooms Header to select that section and drag the bottom of the section up so that the space below the row of controls is about the same as the space above.
2 Select the RoomNumber text box and shrink its width to about .6 inches. (You can set
the width specifically on the Format tab in the Properties window.)
3 Shrink the width of the MaxOccupants text box to about .5 inches. 4 Set the width of the DailyRate and WeeklyRate text boxes to about .6 inches. 5 Select the WeeklyRate text box and slide it to the right near the right edge of the tblFacilityRooms Header section. (The attached label in the Caption section should move with it.)
6 Select the DailyRate text box and then hold down the Shift key to also select the Kitchenette and Smoking check boxes. Slide all three to the right near the WeeklyRate text box.
7 Select the MaxOccupants text box and slide it to the right near the Smoking check box
and label.
8 Select the RoomType drop-down list box and slide it left near the RoomNumber text
box. Expand the RoomType control to the right to fill the space you cleared by moving the other controls. (Some of the room type descriptions are long.)
9 Select all the controls in the tblFacilityRooms Header section, making sure that the
RoomNumber text box is the last one you add to the selection. (This is the one control that you didn t move.) On the Format menu, choose the Align command, and then choose Top from the submenu.
