1 Click File, Save. 2 Click the Save As Type down arrow and click All Files. 3 Type the name of the file in the File Name box. For example, if the name of the file you want to save as an XML file is MySuppliers.xml, you would type MySuppliers.xml.

There are several aspects of the data in the MySuppliers.xml file that you should notice. For example, the first two lines of the data file provide information similar to the first two lines in the schema file.

The first line indicates the XML version and the text-encoding scheme used in the file, and the second line indicates the base element in the schema (Root), the URL indicating the standards document to which the data file conforms, and the name of the schema file (MySuppliers.xsd). Note You can use the first two lines of the sample MySuppliers.xml file in your own XML files. All you need to do is open the MySuppliers.xml file in a text editor, copy the lines, paste them into your other XML file, and replace MySuppliers.xsd with the name of your schema file. The next section of the file contains the data used to populate your worksheet; it s no surprise that the structure of the data in MySuppliers.xml conforms exactly to the structure of the schema presented in MySuppliers.xsd (which you can find on the companion CD-ROM). For example, the schema file has the CompanyName element defined in the following line:

<element name="CompanyName type="string"/>
And the data file has a corresponding line in each set of supplier data:
<CompanyName>New Orleans Cajun Delights</CompanyName>
Not every element has to contain data, but every element does need to occur within each rep etition of the Supplier element. For example, the Fax element in both of the sample data sets contains no value, but the tags do have to occur in the XML data file so that the sequence of elements occurs exactly as defined in the schema file.
Adding XML to a Workbook Manually
Once you have created an XML schema and an associated XML data file, you need to add the structure of the schema to a worksheet. To do so, you establish a data map, or pattern of data represented in a file, in your worksheet.
Excel and the Extensible Markup Language (XML) Note
The words map and schema are often used interchangeably.
To associate a data map with a worksheet, follow these steps:
1 2 3 4
Click Data, XML, XML Source to display the XML Source task pane. Click the XML Maps button to display the XML Maps dialog box. Click Add to display the Select XML Source dialog box.
26
Navigate to the folder that contains the schema (a file with an .xsd extension) you want to map to the worksheet.
5 Click the file, and then click Open to add an outline of the schema to the XML Source task pane.
You can now drag individual elements from the map to the worksheet cells where you want the data to appear. After you drag an element to the worksheet, an AutoFilter down arrow will appear at the right edge of the cell. Click the down arrow, and select where you want the element label (the element s name, such as CompanyName) to appear. Note
The names of elements you have mapped to a cell in a worksheet appear in bold type in the XML Source task pane.
If you want to add an entire element with all its subelements, you can do so by dragging the main element to a cell in the worksheet. Figure 26-5 shows the result of dragging the Supplier element from the MySuppliers.xsd schema to cell A1.
Figure 26-5. at once.
You can map an entire element (with all its subelements) to a worksheet
Part 6: Excel and the Outside World: Collaborating Made Easy
Microsoft Office Excel 2003 Programming Inside Out Note When you add a complex element (an element with subelements) to a worksheet, Excel treats the element as a single list, not a series of lists, which occurs when you drag simple elements to the worksheet individually. After you ve added the desired elements to your workbook, you can delete them as you would delete any other workbook contents. You can also remove an element from a worksheet by right-clicking the element in the XML Source task pane and clicking Remove Element on the shortcut menu.
