The Clipboard methods just described are fine for importing existing Excel tables into Word documents. If you re creating a table from scratch, you have the option of using an alternative method by choosing Insert, Object in Word. When you choose Insert, Object, the Object dialog box opens. Click the Create New tab, and then select Microsoft Excel Worksheet. Word displays a window into a blank Excel worksheet, as Figure 23-7 shows.

Here you can create your table, taking advantage of all of Excel s formatting and calculation tools. When your table is ready for inclusion in your Word document, click outside the Excel window. The result is an Excel object embedded in your Word file exactly what you get if you create the table initially in Excel, copy it to the Clipboard, and then choose Microsoft Excel Worksheet Object from Word s Paste Special dialog box. The table that Word embeds will have the same row-and-column dimensions as the Excel window in which you created the table. That is, empty cells will be embedded along with populated ones. If you have to scroll to populate certain cells, some of your Excel table will not be embedded. In short, you need to adjust the size of the Excel window so that it includes all the rows and columns that you want to see in Word and no more.

You can insert an Excel chart into a Word document by copying it from the Clipboard or by choosing Insert, Object in Word. If you paste an Excel chart from the Clipboard into your Word document, the chart arrives in picture format. The smart tag menu that appears gives you the option of switching to an embedded chart object or to a chart object linked to the source file.

Using Excel Data in Word and PowerPoint Documents As with an Excel table, you can choose Edit, Paste Special in Word to control the format in which your chart is pasted into Excel. If you copied your chart from a chart sheet in your Excel document, your format choices are Microsoft Excel Chart Object, Picture, Bitmap, and Picture (Enhanced Metafile). Pasting the Object format embeds the entire Excel document, not just the chart sheet, so this option has the potential to enlarge your Word document dramatically (particularly if your workbook includes a lot of information in addition to the chart you copied). The other three options generate pictures. The Picture format consumes the least amount of memory, but you should experiment to see which generates the most satisfactory image in your Word document. If you copy from an embedded chart (you must first select the chart s Chart Area to do this), the Picture and Bitmap options become unavailable.
Troubleshooting
My chart is truncated! If you copy a chart-sheet chart sized to fit the window frame and you re working in a highresolution mode, you might be trying to move more pixels onto the Clipboard than your system can accommodate. When you paste a chart into Word under these circumstances, your chart might be truncated. To correct the problem, go back to Excel, move the chart onto a worksheet (right-click the chart, choose Location from the shortcut menu, and specify a worksheet), and then copy the resulting embedded chart. If you still get a truncated chart in Word, try reducing the size of the embedded chart in Excel.
To edit a chart object embedded in your Word document, double-click it. Because Word embeds the entire Excel document from which the chart originated, you ll have access to both the chart and its supporting data when you enter Edit mode. Thus you can change both the appearance of the chart (that is, its formatting characteristics) and the data the chart depicts. If the chart object you re editing started out as an embedded chart in Excel (that is, a chart not displayed on a separate chart sheet), you ll find that when you enter Edit mode, Excel displays the chart on a separate chart sheet. Don t be dismayed by this; Excel isn t doing anything to the layout of the Excel workbook from which you imported the chart. In fact, it s not touching that workbook; when you edit an embedded chart object, you re working only with the embedded copy, not with the original document. To paste-link an Excel chart into a Word document, choose Edit, Copy in Excel to post the chart to the Clipboard. Then choose Edit, Paste Special in Word. Select the format in which you want the chart rendered, select the Paste Link option, and then click OK. You can pastelink a chart from a Chart sheet in any format except Picture (Enhanced Metafile).
