Outlook 2003 maintains three lists: Safe Senders, Safe Recipients, and Blocked Senders. Figure 8-23 shows the Blocked Senders list, which acts as a blacklist for senders, blocking their messages. Microsoft Office Outlook 2003 Inside Out from joe@wingtiptoys.com, jane@wingtiptoys.com, and all other e-mail addresses ending in @wingtiptoys.com. The Safe Senders and Safe Recipients lists act as whitelists. A whitelist identifies senders and domains that Outlook should not filter, regardless of subject or content. Use the Safe Senders list to identify valid messages by their originating address. Use the Safe Recipients list to iden tify valid messages by their target address. For example, if you participate in a mailing list, messages for that list are addressed to a mailing list address rather than your own address, such as list@wingtiptoys.com rather than jim@wingtiptoys.com. Add the mailing list address to the Safe Recipients list to prevent Outlook from treating the list messages as junk mail.

You have two options for adding entries to each of the three filter lists: specify an e-mail address or specify a domain. As previously mentioned, if you specify a domain, Outlook blocks all messages from that domain, regardless of sender. However, Outlook is rather selec tive in blocking. Specify @wingtiptoys.com, for example, and Outlook will block messages from joe@wingtiptoys.com and jane@wingtiptoys.com, but will not block messages from joe@sales.wingtiptoys.com. You must specify the subdomain explicitly in a list to either accept or block that subdomain. Outlook recognizes wildcard characters, so you can simply enter *.domain to block all messages from a domain and its subdomains. For example, use *.wingtiptoys.com to block sales.wintiptoys.com, support.wingtiptoys.com, and all other subdomains of wingtiptoys.com.

Delete Instead of Move
Outlook by default moves junk mail to the Junk E-Mail folder, which it creates by default in your mailbox. The Junk E-Mail folder gives you the capability to review your junk messages before deleting them. If you prefer you can configure Outlook to delete messages rather than place them in the Junk E-Mail folder. In general, you should configure Outlook to delete messages only after you have spent a month using the Junk E-Mail folder, adding senders to your Safe Senders list, and otherwise identifying to Outlook valid messages that have gener ated false positives.
Junk Filtering with Exchange Server
The junk filtering technology in Outlook works in most situations. However, to take advan tage of junk filtering with an Exchange Server account hosted on Microsoft Exchange 2000 Server or earlier, you must use Cached Exchange Mode to create a locally cached copy of your mailbox. Filtering is not available with Exchange 2000 Server or earlier when working online unless you configure your Exchange Server account to deliver messages to a local PST instead of the mailbox on the server. Outlook does scan messages if they are delivered to a PST. Note Junk filtering does work with Microsoft Exchange Server 2003 in both online and Cached Exchange Modes. The junk e-mail filter lists are stored in your mailbox on your Exchange Server. These filters are available for all of your e-mail accounts, not just for the Exchange Server account. What s more, with Exchange Server 2003, the server scans messages before they even reach Outlook. Messages that should be blocked are moved to your Junk E-Mail folder (or deleted, depend ing on your configuration) right at the server.
