4 When you get back, tell Outlook you re in the office, which turns off the Out Of Office
Assistant rules processing. Note When you start Outlook, it checks to see whether the Out Of Office Assistant is turned on. If it is, Outlook asks whether you want to turn it off. After the Out Of Office Assis tant is set up and functioning, messages that arrive in your Inbox receive an Out Of Office response with the message text you ve specified. Exchange Server keeps track of the sendto list and sends the Out Of Office response the first time a message comes from a given sender. Subsequent messages from that sender are sent to your Inbox without generating an Out Of Office response. This procedure cuts down on the number of messages gener ated and keeps the senders from becoming annoyed with numerous Out Of Office replies. Note Exchange Server deletes the send-to list for Out Of Office responses when you close the Out Of Office Assistant from Outlook.
Setting Up the Out Of Office Assistant
Follow these steps to specify the text for automatic replies and to tell Outlook you re out of the office:
1 In Outlook, select the Exchange Server Inbox and choose Tools, Out Of Office Assistant. 2 In the Out Of Office Assistant dialog box (see Figure 8-29), type the body of your
automatic message reply in the AutoReply box. While the Out Of Office Assistant is active, Exchange Server uses this message to reply to incoming messages.

Creating Custom Out Of Office Rules
With the Out Of Office Assistant, you can create custom rules to use in addition to the basic automatic reply. To create a custom rule, open the Out Of Office Assistant and click Add Rule to display the Edit Rule dialog box, shown in Figure 8-30.

Filtering, Organizing, and Using Automatic Responses The options in the Edit Rule dialog box are straightforward, particularly if you re now an old hand at creating rules. Specify the conditions the incoming messages should meet, and then specify the action Exchange Server should perform if a message meets those conditions. When you define the conditions, keep in mind that the Out Of Office Assistant conditions can be met by either full or partial matches. For example, you could enter yce in the Sent To box, and the rule would apply if the address contained Joyce, Boyce, or Cayce. If you want the condition to be met only if the full string is found, enclose the text in quotation marks for example, enter yce .
Applying OR Logic in Out Of Office Assistant Rules
To understand how to apply OR logic in Out Of Office Assistant rules, consider two issues. First, unlike the Outlook rules discussed previously in this chapter, Out Of Office Assistant rules that contain multiple conditions using OR logic rather than AND logic can be pro cessed by Exchange Server. For example, if you enter free money as a condition for the Sub ject box and Nate Sun as a condition for the From box, Exchange Server applies the rule if the message subject contains the words free money or if the sender is Nate Sun. This is in contrast to Outlook s rule behavior, which would apply the rule only if the subject contained the words free money and if the sender was Nate Sun. Second, you can use semicolons within an Out Of Office rule to create an OR condition that addresses multiple possible matches. For example, if you want to create a rule that deletes messages containing the text free money, MLM, or Trial Offer, click Subject and enter the fol lowing text: free money ; MLM ; Trial Offer . How Outlook evaluates the message depends on whether the condition data is enclosed in quotation marks. If you omit the quotes, partial-word matches satisfy the condition. If you enter cat; car; amble, for example, Outlook applies the rule to messages that include the words cat, catapult, car, carpet, amble, and bramble. If you enclose each string in quotes, Outlook matches only messages containing cat, car, and amble. In this example, Outlook will apply the rule to any message that has any one of those three strings in its subject. You also can use this type of logic when addressing case sensitivity in your rules. For example, you might specify the following to allow Outlook to apply the rule to all messages that include the specified text in the subject using different case: No Worries ; NO WORRIES ; no worries . When you create rules for the Out Of Office Assistant to use, you can click Advanced in the Edit Rule dialog box to specify additional conditions for the rule. Outlook displays the Advanced dialog box, shown in Figure 8-31. You can specify multiple conditions for the rule in this dialog box. Tip Although Microsoft s documentation indicates that you need to use a semicolon to define an OR condition, commas seem to work just as well.
