Signing Certificate

You assign the default signing and encryption certificates through Outlook s global security settings; for information, see Setting Global Security Options, page 301.

This read-only information indicates the certificate being used to encrypt your outgoing messages. Click Choose if you want to specify a different certificate.

Use this drop-down list to change the encryption algo rithm used to encrypt messages. The encryption algorithm is the mathematical method used to encrypt the data. Select this check box to include your certificate with outgoing messages. Doing so allows recipients to send encrypted messages to you.

Troubleshooting
You need a faster way to digitally sign a message If you don t send a lot of digitally signed messages, you might not mind the steps you need to go through to get to the Security Properties dialog box to sign the message when you compose it. However, if you frequently send digitally signed messages but don t want to configure Outlook to sign all messages by default, all the clicking involved in signing the message can seem like a very long trip. To digitally sign your messages faster, consider adding a toolbar button that lets you toggle a digital signature with a single click by following these steps:

4 Click Standard in the Categories list, and then drag the Digitally Sign Message com
mand to a location on the toolbar.
Note To modify the Standard toolbar, you must be using Outlook as your e-mail edi tor. If you switch to using Microsoft Word as the e-mail editor, changes you make to the toolbar are not carried over to Word.
5 If you frequently encrypt messages, you can also drag the Encrypt Message Contents
And Attachments command to the toolbar.
6 Click Close and then close the message form.
Now whenever you need to digitally sign or encrypt a message, you can click the appropri ate button on the toolbar when you compose the message. Outlook displays a blue outline around the button to indicate that the command has been selected, so you can tell at a glance whether the message will be signed, encrypted, or both.

Reading Signed Messages
When you receive a digitally signed message, Outlook displays the encrypted version of the message as an attachment. The Inbox displays a Secure Message icon in place of the standard envelope icon (see Figure 10-16) and shows a Secure Message button in the preview pane. The message form also includes a Secure Message button (see Figure 10-17). You can click the Secure Message button in either the preview pane or the form to display information about the certificate.

Securing Your System, Messages, and Identity Because Outlook supports S/MIME, you can view and read a digitally signed message without taking any special action. How Outlook treats the message, however, depends on the trust relationship of the associated certificate. If the certificate is not explicitly distrusted, Outlook displays the message in the Reading Pane. If the certificate is not trusted, you ll see an error message in the Reading Pane header, as shown in Figure 10-18. You can open the message, but you ve been alerted that there s a problem with the sender s certificate. Outlook also displays a dialog box noting the error when you open the message (see Figure 10-19).
