Keeping Track of Your Progress
You can integrate Outlook s Journal feature with Microsoft Project to keep a record of all the work you do on a project, including when you opened, saved, and printed the project file. This feature comes in handy, for example, when you want to find out which project file you worked on yesterday or last week or which file you printed a few days ago. To use the Outlook journal to track your project file work, do the following: 1 In Outlook, choose Tools, Options. 2 Click the Preferences tab.

3 Click Journal Options.

One of the most difficult parts of managing a project is communicating with the people asso ciated with a task or a set of tasks. If your company uses e-mail messages or the Internet, you can integrate Outlook s communication features with Microsoft Project to help you effec tively communicate with resources about task responsibilities. With Microsoft Office Project Server 2003, you can use Microsoft Project to send messages to workgroup system members, also called teams. Workgroups can then use Microsoft Project to assign tasks, send and receive task updates, accept or decline task assignments, and submit status reports. Team members can delegate tasks to other team members. In addition to the collaborative features of Microsoft Project Server 2003, members of a team can use e-mail messages, the Web, or both to exchange Microsoft Project information. Microsoft Project files can include hyperlinks to other supporting documents so that resources can quickly and easily access related documents. These documents might include a Microsoft Word document describing the project in detail, a cost analysis worksheet in Microsoft Excel, or a related Web site you can view in Microsoft Internet Explorer. Microsoft Office Outlook 2003 Inside Out Note
The following section shows how to use Outlook s e-mail features to send and receive messages concerning task assignment, reporting status, and reporting updates. It s assumed that the workgroup functionality of Microsoft Project is installed on your and your recipients computers. To learn more about how to do this, consult the documentation that accompanies the Microsoft Project 2003 and Microsoft Office Project Server 2003 software. In addition, because e-mail systems and networks differ, the specific steps and features shown in this section might not work for your organization. Consult your network or e-mail administrator to find out whether your e-mail or local area network (LAN) system can use Microsoft Project s communication features.
