Creating a Public Folder to Contain Custom Security Settings
Before you can customize security settings for Exchange Server, you must create a public folder to contain the custom settings. Set the folder s access control lists (ACLs) so that all users who need custom security settings have read access to the folder. Only users who will have administrative permission to change security settings on a global basis should be given Write, Edit, or Delete permissions for the folder. Note
The following procedure assumes that you re creating the public folder in Exchange 2000 Server. The procedure is similar for Exchange Server 2003. You can also create the folder in Outlook. Just right-click the All Public Folders branch in the folder list and choose New Folder to open the Create New Folder dialog box.
Follow these steps to create and configure the public folder:
1 Open Exchange System Manager and expand the Administrative Group. Then expand
the Folders\Public Folders branch.
2 Right-click Public Folders and choose New, Public Folder to open the Properties dia
log box shown in Figure 32-12.

3 In the Name box on the General page, type Outlook Security Settings. Alternatively,
you can type Outlook 10 Security Settings for the name, if you prefer, but you must use one of these two. Note Although you might expect otherwise, Outlook 2003 does not recognize a public folder named Outlook 11 Security Settings for security management, at least in the initial release of the product.

If needed, enter a description for the folder in the Public Folder Description box. Click OK to create the folder. Right-click the folder you just created and choose Properties. Click the Permissions tab. Click Client Permissions to open the Client Permissions dialog box, shown in Figure 32-13. Select Default, clear the Create Items check box, and verify that the Read Items and Folder Visible check boxes are selected.
9 Select Anonymous and select None in the Roles drop-down list. 10 If you want to grant other users or groups the ability to modify security settings, click
Add and select a user or group. Click OK and then configure that user s or group s permissions as Owner by selecting Owner in the Roles drop-down list.

Properties dialog box for the folder.

Outlook stores the settings in the public folder when you create custom security settings (explained in the following section). When a user opens Outlook, the program checks the public folder for custom security settings and looks for settings that apply to that user. If it finds such settings, Outlook uses those settings for the current session.
Creating Custom Security Settings
After you set up the public folder, you can create custom security settings if you ve been given the necessary permissions for that folder (see the previous section). You create security set tings using the SecuritySettings.oft template supplied with the AdminPak. Here s how to open the template:
1 Open Outlook and click the arrow beside the New button on the Standard toolbar.
Select Choose Form to open the Choose Form dialog box.

In the Look In drop-down list, select User Templates In File System. Click Browse and open the AdminPak folder. Click OK. Select OutlookSecurity in the template list and click OK. When Outlook prompts you to select a folder, select the Outlook Security Settings public folder.
