Microsoft Office Outlook 2003 Inside Out With the voting feature, you solicit and tally votes from the group. Outlook provides predefined voting responses, but you can also create your own. In this section, you ll learn how to include voting buttons on messages, tally returned votes, and configure voting options. Here s how voting works in general: You create a message containing the question or docu ment on which the group will be voting. Next, you add voting buttons to the message. Then you send the message. Recipients cast their vote by clicking the appropriate button. Outlook prompts them to confirm the vote and then sends the reply message back to you.
Sending a Message for a Vote
Sending a message for a vote is simple. In fact, as long as you want to use one of Outlook s default set of voting options, the process takes only a few clicks.
Using the Default Voting Responses
Use the following steps to create a message and add voting buttons to it:
1 Open Outlook and start a new message or open an existing message from your Drafts
folder.
2 Click the Options toolbar button to open the Message Options dialog box. 3 In the Voting And Tracking Options area, select the Use Voting Buttons check box. In the
drop-down list, select the group of voting buttons you want to include (see Figure 35-9).

4 Click Close. 5 Make any final changes to the message, including adding an attachment or configur

6 Click Send to send the message.

Using Custom Responses
Outlook doesn t limit you to the default sets of voting options (such as Accept/Reject). You can create your own set that includes the responses you need for any situation. For example, suppose you re planning a company appreciation banquet and need to finalize the menu. You want to give everyone a choice of entree and collect those responses for the caterer. What bet ter way to do it than electronically through Outlook Here s how:

Compose your message. Click Options to open the Message Options dialog box. Select the Use Voting Buttons check box. Click the text portion of the Use Voting Buttons drop-down list, making sure to highlight the existing text. Type your custom vote options separated by semicolons, as shown in Figure 35-10.

5 Click Close.
6 Make any final adjustments to the message as needed.

Casting Your Vote
When you receive a message that includes voting buttons, the response buttons appear on the message form between the header and the toolbar (see Figure 35-11). In addition, Outlook displays a message in the Reading Pane, if it s open, to prompt you to vote (see Figure 35-12).

Tip Want to vote without opening the message Simply right-click the message header and choose your vote response from the shortcut menu. Or, if the Reading Pane is open, click the InfoBar in the Reading Pane and cast your vote from the shortcut menu.
Part 7: Using Outlook with Exchange Server
Messaging with Exchange Server Voting is easy: just click a button to cast your vote. Outlook displays a simple dialog box ask ing whether you want to send the vote now or edit your response. To send the message without modification, select Send The Response Now. To cast your vote and open the message as a reply so that you can include text in your response, select Edit The Response Before Sending. Tip Outlook doesn t automatically close the message window when you cast a vote, which makes it easy to accidentally vote more than once. You must close the message win dow manually. When you cast a vote, Outlook changes the subject of the message to include your vote. For example, if the original subject is Choose An Entree and you click the Blackened Salmon button, the subject of the reply returned to the sender is Blackened Salmon: Choose An Entree.
