If you have the necessary permissions on the server, you can use Outlook to create public folders. The Exchange Server administrator configures permissions on the server to allow or deny individuals or groups the ability to create public folders. This section assumes that you ve been given the appropriate permissions to create folders.

1 Open Outlook. If the folder list is not currently displayed, click the Folder List button
in the Navigation Pane.
2 Expand the Public Folders branch, right-click the folder in which you want to create
the new public folder, and choose New Folder to open the Create New Folder dialog box, shown in Figure 38-2.
Figure 38-2. You can specify a different location for the new folder in the Create New Folder dialog box.
3 Type a name for the folder in the Name box, and then select the folder type in the
Folder Contains drop-down list.
4 The folder type determines the type of items that you can create in the folder. For
example, to create a folder for sharing messages, select Mail And Post Items, or select Contact Items to create a shared folder for contacts.
5 To change the location where the folder will be created, select a new parent folder in
the Select Where To Place The Folder list. Then click OK to create the folder. 944

Configuring Folder Properties
After you create a folder, you ll want to configure its properties, including the permissions to control access. To configure a public folder s properties, right-click the folder and choose Properties. The following sections explain the options you can set on each tab of the folder s Properties dialog box.
Setting General Properties
38
Use the General tab (see Figure 38-3) to specify the folder s name, add a description, specify the default form for posting to the folder, configure Exchange views, and view the size of the folder.
Figure 38-3. Use the General tab to configure basic folder properties.
The General tab includes the following properties:
Name
Use the text box at the top of the General tab to specify the name for the public folder. (To rename the folder later on, right-click it in the folder list and choose Rename.)
Description
Enter an optional description for the folder in this text box. This description does not appear in Outlook when users browse the public folder list; it does appear if the user opens the Properties dialog box for the folder. Use this drop-down list to select the form to use for adding new items to the folder. Outlook by default uses a specific form based on the folder type. If you want to use a different form, select Forms in the drop-down list to display the Choose Form dialog box (see Figure 38-4), where you can select the form.
When Posting To This Folder, Use

Figure 38-4. Use the Choose Form dialog box to select the form for posting new items to the public folder. Automatically Generate Microsoft Exchange Views
Select this check box if Microsoft Exchange client users also connect to the server and need access to the public folder. You can clear this check box if only Outlook clients connect to the server or require access to the public folder.
Folder Size
Click this button to view the current size of the folder (the amount of space used by the folder s contents).
Note The General tab also shows two additional controls for a public folder: Show Num ber Of Unread Items and Show Total Number Of Items. You can t change these options for a public folder, even if you created the folder and have full control over it. These read-only options appear because Outlook uses the same dialog box for public folders as it does for Outlook folders, where these options can be changed.
Defining a Folder Home Page
Use the Home Page tab of the folder s Properties dialog box to assign a Web page to the folder. Enter the URL for the page in the Address box, and then select the option Show Home Page By Default For This Folder. When the user opens the folder, the specified page will open in the folder window.
