Different styles appear in the master document and subdocuments If you notice that the headings in your master document and subdocuments look different, check the template you ve applied by choosing Tools, Templates And Add-Ins. In the Document Template section, check each file to make sure that both the master and the subdocument have the same template selected and that the Automatically Update Document Styles check box is selected. If necessary, attach a different template by clicking Attach and, in the Attach Template dialog box, navigating to the template file you want. Make your selection and click Open, and then click OK to close the Templates And Add-Ins dialog box and return to the document.

Word provides a subdocument locking feature that enables you to protect documents so that no further changes can be made to them. This is particularly helpful if you re working as part of a team and want to make sure another team member doesn t modify a file after it s been finalized. To lock a subdocument, simply click the subdocument icon and click Lock Document on the Outlining toolbar. A small lock symbol appears beneath the subdocument icon to the left of the subdocument text, as shown in Figure 20-8.

One of the greatest perks of working in a master document is the ease with which you can rearrange subdocuments. Start by opening your master document and reviewing the order of the subdocuments you ve got listed. Click Expand Subdocuments to show all the headings and text of the subdocuments within the master. Drag the subdocument icon of the item you want to move to the new location. A heavy indicator line moves with the pointer, showing you the placement of the subdocument, as shown in Figure 20-9.

Figure 20-9. When you rearrange subdocuments, the indicator line shows you where the subdocument will be placed when you release the mouse button.
When the indicator line is positioned where you want to insert the subdocument, release the mouse button. The subdocument is then moved to that position. Tip Don t accidentally bury your subdocument Be sure to place the indicator line outside another subdocument boundary before you release the mouse button. Otherwise, Word will create a nested subdocument, placing the subdocument you just moved inside another subdocument. If this was not your inten tion, drag the subdocument icon to a new location outside an existing subdocument area or press Ctrl+Z to undo your action and start again. Tip
Work with multiple subdocuments You can select multiple subdocuments by pressing and holding Shift while clicking the subdocument icons. If you want to select noncontiguous subdocuments, press and hold Ctrl while selecting the subdocuments you want to move.
Creating and Controlling Master Documents
Merging Subdocuments
Although splitting documents into subdocuments for organizing, editing, and enhancement purposes is a useful function, there will be times when you want to combine subdocuments after you ve worked with them independently. To merge two subdocuments, follow these steps:
more on moving subdocuments, see Rearranging a Master Document, on page 589.
4 Select both subdocuments by clicking their subdocument icons. (Press and hold Shift
while you select the second subdocument.)
5 Click Merge Subdocument on the Outlining toolbar. The second subdocument is
combined with the first. Note When Word combines subdocuments, the first file takes on the addition of the new data and everything is saved into that file.
Separating Subdocuments
If you create a new topic or want to divide a subdocument into two, simply create a new heading at the point where you want to make the break (or raise an existing heading to a Heading 1 level), and then click Split Subdocument on the Outlining toolbar. The subdocu ment is divided at the insertion point.
