After you assign a password to open a document, the Password dialog box will appear whenever a user attempts to open the document, as shown in Figure 28-5. To open the document, a user will have to enter the correct password and click OK. If a user doesn t know the password, he or she can click Cancel to abort the process.

Microsoft Office Word 2003 Inside Out Similarly, after you assign a password to grant users modification privileges, they ll see a Password dialog box like the one shown in Figure 28-6 when they open the document.

In this Password dialog box, users can perform any of the following actions:

ify the document.
Click Read Only
Enables users to view the document without allowing them to mod ify the original version of the document. If they make changes and try to save the doc ument, the Save As dialog box appears. Aborts the entire process.
Click Cancel
If users open the document by clicking Read Only, they ll be able to make changes to the doc ument, but they ll only be able to save the modified document as a new file they won t be able to replace the existing version of the file with their modified version.

Tip You can assign passwords to both the open and modify options on the Security tab, thereby providing two layers of protection and accessibility for your document. To remove password protection, you must know the passwords to gain access to the docu ment. After you open a password-protected document, you can delete the passwords on the Security tab; deleting password information on the Security tab removes the password pro tection. To do this, choose Tools, Options, click the Security tab, and delete the passwords (the letters of the password are masked) in the Password To Open and Password To Modify boxes. Then click OK and save the document to complete the procedure. Note In most cases, you ll lose your password protection if you save your document in a format other than Word s document format. For example, if you save a Word document as a Web page, you ll lose your password protection. In addition, you cannot use Word s stan dard password protection options to add password protection to Web page documents.

Suggesting That a File Be Opened as Read-Only
As mentioned, you can attach a password to a document and thereby allow only certain peo ple (the people who know the password) to modify the document. When a password is required to modify the document, those who don t know the password can open the docu ment in read-only mode only. In addition to configuring a password, you can also configure a document to display a dialog box suggesting that users open the document as read-only. When you configure this setting, users can choose whether they want to open the document in normal or read-only mode, without entering a password. You might want to configure a document with the Read-Only Recommended option if the document is a template, for example, and you want to encourage users to use the template in read-only mode to ensure that they don t inadvertently change the template. On the other hand, some users might have to modify the template at times, so you don t want to make the template read-only in all cases. To configure a document so that it suggests to viewers that they open the document in readonly mode, follow these steps:
1 Choose Tools, Options, and click the Security tab. 2 Select the Read-Only Recommended check box, click OK, and save your document.
When users open a file with the Read-Only Recommended option turned on, they ll see a dia log box similar to the one shown in Figure 28-7. The dialog box asks whether the user wants to open the document in read-only format, and the user can click Yes, No, or Cancel. If users open the document as read-only, they can make changes to the document, but they must save the changed version with a new name (thereby not overwriting the original document).
