Exporting Events
Windows SharePoint Services can t exchange individual events with Outlook, but you can link an entire SharePoint Events list to an Outlook calendar. The procedure is very much like that for linking contacts. Proceed as follows.
1 Display the Events list you want to link with Outlook. This should resemble Figure 4-13. 2 Click the Link To Outlook toolbar button. 3 When Outlook displays a prompt asking if you want to add a new Outlook folder, click Yes.

Microsoft Windows SharePoint Services Inside Out Outlook doesn t merge the SharePoint events into your regular calendar; instead, it creates a new, read-only calendar containing only the SharePoint events. You can view multiple calendars at the same time by clicking their check boxes in the Calendar navigation pane. This isn t as convenient as viewing all the events on one calendar, but it does provide a way of taking a copy of your project events with you when you go off-net. As with contacts, Outlook periodically checks the SharePoint Events list for updates and downloads any it finds.
Managing Alerts
If you receive very many SharePoint alerts, you ll probably want to filter them as they arrive in Outlook. Fortunately, this is very easy to do. Here s the procedure:

1 In Outlook, choose Mail from the Go menu, or click the Mail icon in the Navigation pane. 2 Choose Rules And Alerts from the Tools menu. 3 When the Rules And Alerts dialog box appears, click the Manage Alerts tab.
Outlook will display a list of alerts currently in effect, much as you see in Figure 4-15.

The Manage Alerts tab groups alerts in the same way that they arrive, that is, by SharePoint site and frequency. The listing Interlacken.com Root Site, Daily Summary, for example, includes all the alerts from a SharePoint site named Interlacken.com Root Site that arrive daily. This is because all those alerts would arrive in one message.

Using SharePoint with the Microsoft Office System To manage these alert listings, use the toolbar buttons on the Rules And Alerts dialog box as follows:
New Alert
Click this button to create a new SharePoint alert. Outlook will display a New Alert dialog box listing two groups of SharePoint sites: those currently sending you alerts and those you ve recently visited. To continue:
1 Either select one of the listed sites or type the address of a new site in the Web Site Address box. 2 Click Open. This will display a New Alert Web page from the site you chose. 3 The New Alert page will list each list or library in the site. Select the one you want, click Next, and follow the prompts. Alert Properties Select any listed item and then click this button to display the Alert Properties dialog box shown below.
Here s how to use the links and buttons in this dialog box.

Alert Source Click this link to browse the home page of the SharePoint site that generates the alerts. Go To The Alerts Management Page Click this link to browse the My Alerts On This Site page from the SharePoint site. From that page, you can add new alerts, reconfigure existing alerts, and delete alerts. Modify Alert Select an item in the Alert Description list box, and then click this button to display the Edit Alert page for the alert you selected. From that page, you can reconfigure or delete the alert. View Item Select an item in the Alert Description list box, and then click this button to display the document, list, or item to which that alert pertains.
