3 When the New Form Library page appears, fill in the following fields. Name Give the form library a one-line name. Description Enter a few sentences describing the library. Display This Form Library On The Quick Launch Bar Choose Yes or No. Create A Version Each Time You Edit A File In This Form Library Choose Yes or No. Form Template Select a form template. Unless your administrator has provided more choices, the only option will be Blank Form. 4 Click Create to create the form library. 5 When the view page for the new form library appears, click Modify Settings And Columns. 6 Under General Settings, Template, click the Edit Template link to download the form template to InfoPath for editing.
In many cases, the Blank Form template isn t the best starting point for a new form. When you start from nothing, you have to create everything. As a result, you might prefer to start from another form within your company or one of the sample forms that come with InfoPath. Typically, you would design such a form offline, and then, when the design is complete, you would create the form library directly within InfoPath. Here, therefore, is the procedure for creating a SharePoint form library directly within InfoPath.

1 In InfoPath, open your form, choose Design A Form from the File menu, and then design the form. Designing InfoPath forms is a relatively complex task involving both visual and technical issues. If this task falls to you, consider purchasing Introducing Microsoft Office InfoPath 2003 from Microsoft Press. 2 Choose Save As from the File menu and then, when the Microsoft Office InfoPath dialog box shown below appears, click Publish.

3 When the Publishing Wizard appears, click Next to advance past the welcome page. 4 When the second page of the wizard prompts, Where do you want to publish this form select To A SharePoint Form Library and then click Next. 5 When the third page of the wizard appears, choose one of these options: Create A New Form Library (Recommended). Modify An Existing Form Library.

Using SharePoint with the Microsoft Office System
Figure 4-33. This wizard page from InfoPath specifies which form fields will be available as SharePoint form library columns.
9 Click Finish to create the form library.
If you display the contents of a form library (or if you look back to Figure 4-32), you ll notice that the Select A View section include a Merge Forms command. This command displays a view of the form library that has a check box for each form and a Merge Forms toolbar button. If you select one or more of these check boxes and click the Merge Forms button, the SharePoint site will download all the data from those forms, and your PC will load the data into InfoPath. This may be useful as a viewing and reporting mechanism.

6 The fourth page will prompt, Enter The Location Of Your SharePoint Site. Enter the URL, and then click Next. 7 When the fifth page appears, enter a one-line name and a one-paragraph description of the new form library, and then click Next. 8 The next page of the wizard appears at left in Figure 4-33. It shows which form fields InfoPath proposes to make visible as columns when the SharePoint site displays the form library. To add a field, click Add and then make a selection in the resulting Select A Field Or Group dialog box shown at right in Figure 4-33. If the field is repeating (such as line item data in an invoice), you ll also need to select a function to use for aggregating it, such as first, last, sum, average, min, max, or count. This is because the SharePoint form library listing can display only one value for each field on a form. To remove a field, click the Remove button. To change a field, click the Modify button and then use the Select A Field Or Group dialog box just as you would for an addition.
