You can save a report to a local file and thereby create the equivalent of a snapshot. As a local file, you can access the report anytime without connecting to the Report Server. To create a local file, you use the Export feature in the HTML Viewer. The best formats to use for saving a report as a local file are Excel, Web archive, Acrobat (PDF), and TIFF. You ll explore these and other rendering formats in greater detail in 12, Rendering Reports. The export format that you choose determines which features of the online report can be reproduced in the selected rendering. For example, a document map is a feature that enhances navigation in a very large report that you view using the HTML Viewer. The document map can also be rendered in a PDF file to facilitate navigation when viewing the report with Acrobat Reader. You will learn more about the effect of rendering on specific report features in 12. In this procedure, you will save the Product Catalog report as a PDF file.

Notice the Document Map pane that appears on the left portion of the page. The Document Map is a feature added during the report authoring stage and is used to jump to a corresponding location in the report. You ll learn more about creating a Document Map in 12. Click the plus sign to the left of Bike to expand the Document Map, expand Road Bike, and then click Road 150. The information in the Product Catalog related to the Road 150 bike is displayed. A document map is very useful for navigating a large report like the Product Catalog. Click Acrobat (PDF) File in the Export list box, and then click the Export link. You have the option to view the exported file now or to save the report to the file system for viewing later. To view a file that is exported to another format, you must have the appropriate application installed on your computer. In this case, you must have Acrobat Reader. Click the Open button to download the file and launch Acrobat Reader as the file viewer.

Note The bicycle image in the PDF file is fuzzy at the current resolution. When viewed at 100 percent, however, the image is quite clear.
Printing Reports
Because the Report Manager uses its own viewer to render a report online, the browser s print feature will not properly reproduce a print version of the report. Instead, you need to export the report to a format that is better suited for printing, such as Web archive, Acrobat (PDF), or TIFF. When you open the exported report in the appropriate viewer, you can use the viewer s print capabilities to send the report to a printer.
Tip You can develop a custom extension to enable users to send a report to a printer. (Custom extensions are explained in 16, Building Custom Reporting Tool, which can be found on the companion CD.) Take a look at the PrinterDeliverySample, a custom delivery extension, that ships with Reporting. Services for a simple approach. You can find this sample in the Program Files\Microsoft SQL Server\MSSQL\Reporting Services\Samples folder.
In this procedure, you will use the print preview in your browser to view the Sales Summary report that has been exported to a Web archive format.
