Before you create a data-driven subscription, you must create a subscription delivery table that will contain the destination details as well as the delivery settings. This table can simply contain a single column to store a destination, or it can contain a column for every report delivery option. When you create the data-driven subscription, you specify a query to the subscription delivery table and then map the columns of the query results to the delivery options. In addition to using this table to store delivery options, you can assign parameter values by destination. Your table should include a column for each parameter that you want to customize in the report. You then map the column to the parameter when creating the data-driven subscription.

A subscription delivery table allows you to manage a list of destinations with delivery options, rendering preferences, and parameter values. Reporting Services does not provide an interface for you to build and maintain this table, but you can use your favorite SQL Server tool to set up the table and load it with data. At a minimum, you need to define a column for the subscription destination if all you want to do is manage a list of recipients. The main advantage of this table, however, is the ability to configure many options to customize the subscription for each recipient. In this procedure, you will review the contents of the SubscriptionGroupDirector table in the rs2000sbsDW database.

Open Enterprise Manager, expand the default instance (or the instance to which you installed Reporting Services and the practice files), expand the Databases folder, expand the rs2000sbsDW database, and then click Tables. Notice that the records in this table define subscription options for each Sales Director. You will use this table to apply these options to a data-driven subscription that customizes the delivery of reports to each territory group director. Two of the directors will have the report included in the e-mail message, while one will have a link to the report. Each director will receive a different rendered format, and each will see different data in the report because a different parameter is used to filter the data for each director.
Note The structure of this table is provided as an example. You can create a more complex table if you need to manage additional subscription options. 3

Creating a Data-Driven Subscription
After you create a subscription delivery table and populate it with data, you are ready to create a data-driven subscription. Rather than set the delivery options directly, as you did with the e-mail delivery, you will define a query that returns rows from the subscription delivery table. You then assign columns of the table to corresponding delivery settings and, optionally, to parameter values. A report is created for each row that is in the table, and delivered according to the settings specific to each row. In this procedure, you will create a new data-driven subscription to send the Actual Vs Quota report by using the information in the subscription delivery table.

In Report Manager, on the Actual Vs Quota subscription properties page, click the New Data-Driven Subscription button on the toolbar. Type a description: Actual Vs Quota Subscription. Click Report Server E-Mail in the Specify How Recipients Are Notified list box. Keep the default data source option, Specify For This Subscription Only.
