CHAPTER
PRESENTING INFORMATION
resenters spend most of their time presenting Unfortunately, the presenting part can be the most boring portion of any event; therefore, you should spend no more than 50 percent of your virtual presentation actually presenting Some of you may have been born with, or have since developed, a unique skill in presenting information Most people do not have this skill, however If you do, consider yourself fortunate Since this is a book on making presentations, I should clarify what I mean here Strong presentations include a variety of communication elements Actually presenting the
VIRTUAL PRESENTATIONS THAT WORK
information is only one of those elements Other elements include demonstrating or conducting interactive activities Presenting can be especially toxic (ie, boring) in virtual presentations, since time seems to go more slowly when participants lack physical contact with a group Make your presentations as compact as you can Try to economize by focusing on a few major points If you are using PowerPoint slides, attempt to display a new one at least every three to ve minutes Supplement your presentations with demonstrations, questionand-answer sessions, and audience interaction Finally, use a variety of content delivery types and media And, of course, make use of relevant visuals whenever you can
COMPARING VIRTUAL AND FACE-TO-FACE STRATEGIES
Face-to-Face Presentation A big part of how you present information is with your nely honed speaking skills Support your lecture by using slides, ipcharts, external media, and relevant Web sites Whenever possible, use stories and analogies to illustrate a point Pepper your presentations with questions, and draw out more seasoned participants to provide relevant examples Consider using one or more formats of interactive lectures Interactive lectures are those that actively involve attendees, instead of simply asking them to listen One example of an interactive lecture is a question-and-answer lecture, where you place questions under the seats of selected participants and periodically request that attendees ask one of those questions to guide your lecture Thiagi s Interactive Lectures (S Thiagarajan, 2005) is an excellent resource for some great examples of interactive lectures Virtual Presentation Introduce your presentation with a snappy prepared multimedia presentation that you have created using Adobe Captivate, Flash, or
PRESENTING INFORMATION
Dreamweaver If you are using supporting Web sites, direct attendees to them by sending the URLs in a chat Solicit attendees expertise, opinions, and thoughts by privately asking them to share stories, analogies, or other information using their chat or audio You can also request that attendees utilize the electronic whiteboard and associated drawing tools to support or summarize their contribution Then bring together the various threads of the presentation in a short discussion
