Create and Save Documents
Type the lename in the File Name text box Word automatically enters the rst few words of the document in the File Name box,
but you ll often want to change them
You can use letters, numbers, most punctuation, and some symbols, but not
characters that have special meanings in Windows: asterisk (*), colon (:), backslash (\), forward slash (/), greater-than sign (>), less-than sign (<), question mark ( ), vertical bar (|), or double quotation marks
The lename, including the folder path to it, can be up to 255 characters long
Usually, you ll want to keep lenames much shorter than this so that they re easy to read in dialog boxes and Windows Explorer windows Even so, you can easily create detailed names that help you quickly identify your documents 4 If necessary, change the format for the document
The Save As Type drop-down list shows the format that Word will use for the
document Unless you changed the save format (see the section Tell Word Where To Keep Your Documents and How to Save Them, earlier in this chapter), Word uses Word Document (*docx), the newest format
Use this format unless you need to make sure that users of earlier versions of Word
can open your documents even if they don t have the latest document converters installed In this case, use the Word 97-2003 Document (*doc) format instead 5 In the lower part of the dialog box, add extra information to the document to help you nd it later when searching in Windows
Word adds your name to the Authors readout To add another author, click your
name, and then type it in the box that appears For example, you might add the name of a colleague with whom you re collaborating on this document
When you search for documents, you can search for speci c tag information
keywords added to the document to help explain its content To associate particular keywords with the document, click the Tags readout, which at rst shows just a pair of parentheses: () Type a keyword or phrase To add another, type a semicolon to separate the new keyword or phrase from the rst
To give the document a title, click the Title readout and type the title You might
use a title related to the lename or something more descriptive Similarly, you can assign a subject by clicking the Subject readout and typing text
To save a thumbnail picture of each document you create, select the Save Thumbnail
check box Thumbnails help you identify documents visually in dialog boxes and Windows Explorer windows Thumbnails are most useful when you create documents that look markedly different from one another If your documents all look the same, thumbnails are of little use For example, thumbnails of memos that use the same template tend all to look the same 6 Click the Save button Word closes the Save As dialog box and saves the document You can then continue working in the document
