Once you ve applied styles to a document, you re ready to reap their benefits These benefits include being able to quickly update all text or paragraphs to which a style is applied, replace one style with another style, or remove all instances of a style
Update a Style
If you re lucky, Word s built-in styles will meet your needs More likely, you ll need to change some styles so that they suit you When you change a style (see 9), Word automatically updates all the text in the document to which the style is applied
Replace One Style with Another Style
You can replace all instances of one style with another style in either of two ways:
Use the Select All Instances command Right-click the style in the Quick Styles
Gallery or the Styles pane, choose the Select All Instances command for example, Select All 5 Instance(s) and then click the style you want to apply This method is great for quickly replacing one style with another style
Use the Replace feature You can use Replace to replace one style with another style
(see the section Find and Replace Formatting or Styles in 3) Use this method when you need to replace some instances of a style but not others
Remove All Instances of a Style
Word also lets you remove all instances of a style Removing the style doesn t delete the text or other objects to which the style is applied it makes Word apply the Normal style instead The Normal style tends to be the bane of properly formatted documents, so you may find removing a style useful only seldom (if ever) In most cases, you ll do better to replace the style with another style than Normal To remove a style from the text to which it is applied, right-click it in the Quick Style Gallery or the Styles pane, and then choose the Remove All Instances command for example, Remove All 10 Instance(s)
CHAPTER 4:
Format Text Efficiently
Customize the Styles on the Quick Style Gallery
If you find the Quick Style Gallery a handy way of applying styles, you ll probably want to change its selection of styles so that it contains those styles you use the most Here s how to change the styles:
Add an existing style Right-click the style in the Styles pane and choose Add To
Quick Style Gallery from the context menu
Add a new style you create When you create a style (see the section Create Custom
Styles in 9), select the Add To Quick Style List check box Word then adds the style to the Quick Style Gallery
Remove a style Right-click the style in the Quick Style Gallery and choose Remove
From Quick Style Gallery from the context menu
Let Word Pick Styles for You
If you and your colleagues apply styles as you create each document, you should never end up with a document that uses only the Normal style but most people encounter such documents before too long To turn the document into a properly formatted document, you can apply styles to it manually Or you can let Word s AutoFormat feature have a go at the job If the document is laid out with extra blank paragraphs, tabs, and so on, AutoFormat can often do a good job of applying styles And if it doesn t, you ll have wasted only a minute or two
Choose AutoFormat Settings
Before you run AutoFormat, make sure that its settings are suitable 1 Click the Of ce Button, and then click Word Options Word displays the Word Options dialog box 2 In the left panel, click the Proo ng item, and then click the AutoCorrect Options button Word displays the AutoCorrect dialog box 3 Click the AutoFormat tab Word displays its controls (see Figure 4-12) 4 Choose the settings you need:
Apply area To give Word the most room for maneuver, select all four check boxes:
the Built-In Heading Styles check box, the List Styles check box, the Automatic Bulleted Lists check box, and the Other Paragraph Styles check box
