If you ever want to change a user s account information, you log into Office Live, and then click Users & Accounts Next, click Edit or DEL next to the individual s user name If you want a quick glimpse at whether a user has permissions to work with, say, the Business Applications workspace, you can choose the type of site from the All Sites drop-down list A list of registered users for that site appears When you delete a user, that permission loses access to all workspaces to which they previously had access However, their e-mail address still exists If that person leaves your organization, you need to delete the address from within Office Live s e-mail area
Sharing Information with a Document Workspace
As you learned earlier in this chapter, workspaces are set aside for people to work on a project collaboratively Document workspaces are specially designed to help you create and circulate the Microsoft Word memos, letters, and reports that commonly circulate around many offices You work on the document on your computer, but it resides on your Office Live site, where everyone in your group can access it Document workspaces aren t about conducting an online meeting They provide an alternative to the traditional way of circulating documents, in which the document goes from person-to-person, and each person adds comments by hand When the document (or different versions of it, each with its own edits) is eventually returned to a central point of contact, consolidating all the different changes can be considerable work for that central editor With document workspaces, the file has only one copy, and access is restricted to only approved individuals
CHAPTER 5:
Creating Shared Workspaces
Simply circulating the document from one person to another doesn t tell your colleagues who s edited it and it doesn t indicate what changes have been made You can track changes and comments made to the file by multiple individuals Do this by activating the Reviewing toolbar tracking changes in Word (or another Microsoft Office application you want to use) You also need to assign the appropriate permissions to users who must be able to upload new documents to the workspace Otherwise, you ll be confused by multiple copies of the file circulating around your office
