In 6, you learned about how to give employees access to workspaces But access needs may change, depending on projects that come up For a particular project you are initiating, you may want to add more people; you may want to restrict others from participating When you are in the early stages of configuring your project, a good idea is to review users and accounts to make sure the right people have access The Site Manager window gives you a fine-grained level of access control: you can allow some users access to one application, others to a workspace, and so on Follow these steps:

Working with the To Do List
As mentioned in the preceding section, when you work with the Project Tasks list, you fill out a form that enables you to assign a task to an individual in your workgroup You can further customize the list and add a column called Staff,
How to Do Everything with Microsoft Office Live
which identifies each person who is going to work on each task and spells out what each individual is to perform in more detail Or, you can use another business application list, the To Do list, which is found under the Time Manager This list also lets you identify a set of tasks, but it s much shorter and simpler than Project Tasks Why The To Do tasks aren t necessarily associated with a particular project However, you can add a note in the Description field in the To Do list s New Item form that lets you identify a task as being part of a project you re working on (see Figure 8-8) By default, the Description field doesn t appear in All Tasks view Make sure you check the box next to the Description field to make certain it s visible You need to click Common Tasks and choose Manage this application or workspace, then click Site Libraries and Lists, and then click Customize To Do Click Column Ordering and move this column up in the list to require that it be displayed

CHAPTER 8:
Managing Business Projects
Adding a New View
Suppose you have lots of different tasks to track and you want to group them all into different projects You can do this by customizing the To Do list Follow these steps:
1 Click Common Tasks and choose Manage this application or workspace 2 Click Site Libraries and Lists, and then click Customize To Do 3 Click Create view under the Views heading 4 Click Standard View or another type of view 5 Enter the name for your view, such as By Project 6 Click OK 7 Return to the To Do window, where By Project appears, along with the
default views My Tasks, Due Today, and so on Click the new By Project tab to bring it to the front Your projects are sorted by project order if you placed the Description field first in the list, this is especially easy to see because all your project descriptions appear on the left
Tracking Project Issues and Problems
Projects rarely go completely smoothly In fact, the more people you have working on the project and the more milestones you go through, the chances that you ll run into what Office Live calls issues goes up proportionately Issues are presumably different from tasks Issues are situations that need to be resolved at some point for the project to go forward In a group environment, keeping issues to yourself isn t good Your colleagues might be able to help or come up with solutions The Project Issues tab in Project Manager is designed especially for tracking problems, complications, dilemmas, or other concerns that need to be addressed The Issues list, like others in Project Manager, is divided into multiple views: n All Issues These include issues that are current, as well as those already resolved n My Issues These are issues assigned to you to be resolved
