How to Do Everything with Microsoft Office 2003
In addition to turning on gridlines or setting your printout to black and white, you can use this tab to customize the following aspects of your printout:
Print Area This option allows you to type or select a region of your worksheet to be
designated as the area to print
Print Titles If you want your column headings or row labels to appear on each page of
the printed worksheet, type the cell addresses where these headings and/or labels can be found, or move the dialog box aside and select the range with your mouse This feature can be especially helpful when you re printing out a database with many, many rows of records
Print This section gives you the choices to print gridlines, to print in black and white,
to print in draft quality, and to include the column letters and row numbers from the worksheet You can also choose whether or not any cells with comments in them are printed, and if so, where they appear
Page Order By default, pages print down, then over, and the dialog box itself shows
how this works with a graphical explanation You can switch to Over, Then Down, which can be a good choice for worksheets that are much wider than they are tall
Setting Up Headers and Footers
For printouts that have more than one page, it s a good idea to include page numbers on the second and subsequent pages, just as you would include them on a long letter or report done in Word To add page numbers (or any other header or footer content), you need the Page Setup dialog box again From within the dialog box, click the Header/Footer tab and view the current header or footer content in the large white boxes By default, there is no header or footer content, but if you re working with a worksheet created by someone else, there might already be content there If you want to add or change header and/or footer content, use the Custom Header and Custom Footer buttons on the Header/Footer tab The dialog box opened by either button (the Header dialog box is shown in Figure 14-5) gives you the ability to type your own text into the header or footer and to insert automatic data the filename, the date, the time, the page number, and even the total number of pages, which is very handy for long printouts As you click the buttons to insert information, the insertions appear as fields, with symbols and names relevant to Excel s programming For example, if you click the Date button, &[DATE] appears in the active section of the header or footer The actual date will appear only on the printed worksheet or in the Print Preview window Be sure to press SPACEBAR between inserted pieces of data (and any extra text you add manually) so that the text and numbers don t run together when printed Click OK to apply your header or footer to the worksheet
