Check and Change Margins
To make printouts fit the page, you must set suitable margins Suitable can encompass anything from the tiny margins that laser printers need (laser printers can t print right up to the edge of the paper) to margins that are generous enough for scribbling paragraphs of complex notes Excel starts you off with default margins for predefined paper sizes, but often you ll need to change them
How to Do Everything with Microsoft Office Excel 2003
FIGURE 6-8
Use the Margins tab of the Page Setup dialog box to set margins and centering for the printout
You can set margins in two ways Usually it s best to start on the Margins tab (Figure 6-8) of the Page Setup dialog box (choose File | Page Setup) On this tab, you can:
Use the Top, Bottom, Left, and Right boxes to set the top, bottom, left, and right
margins
Use the Header box to specify the distance between the header and the top of the page,
and the Footer box to specify the distance between the footer and the bottom of the page
Select the Horizontally check box to center the printout on the page horizontally, select
the Vertically check box to center the printout on the page vertically, select both check boxes, or select neither (the default setting) After setting margin distances on the Margins tab, click the Print Preview button to display the worksheet in Print Preview Then click the Margins button to make Excel display guidelines where the margins and the header and footer areas fall (Figure 6-9) You can change the margins and the header and footer areas by dragging these guidelines for example, if you notice that a deep header or footer is crashing into the worksheet You can also drag the markers along the top border of the page to change column widths for example, if you notice that a cell is too wide for its column After checking the margins, click the Margins button again to toggle off the guidelines, or simply click the Close button (or press ESC) to exit Print Preview without toggling off the guidelines This way, Excel displays the guidelines the next time you enter Print Preview
