Figure 3-7 shows that we re going to take another step with the Excel table now that it s sorted in a logical manner (it certainly helps that we can now visualize the data grouped by School, for example) In everyday work we often need to add data to our Excel spreadsheets and Excel tables can make this a reasonable process with the use of Data Validation

Figure 3-8 shows the working result of adding Data Validation to our Excel table Basically, we can add a new row to our original data without having to retype (or incorrectly type) recurring spreadsheet data This is a big step forward, since using existing data for new rows, where appropriate, avoids the problems of manually typing the desired data and eliminates data entry errors This is a brute-force use of Excel data to help us with data entry, and we ll see in a subsequent step how to limit this to unique data values For now, however, this use of the Data Validation feature provides a quick way to avoid manual data entry

Figure 3-8
Excel table with Data Validation applied supporting data entry in a new row
As Figure 3-8 shows, we now have a controlled data input environment It s not as perfect as a data entry screen that we might expect in an enterprise application used by many users, but it s a lot better than no entry mechanism at all, and you can configure and control it as an end user without help from anyone else!
BI TIP
There are many situations in business intelligence projects where a coherent data entry mechanism is not available, so the BI analysis depends on data that is manually entered into an Excel spreadsheet In an ideal setting, a true data entry application would be added to the business process, but this is often not practical, so we need to know how to use Excel as a data entry mechanism Excel 2007 tables provide one way to do this
Microsoft Office 2007 Business Intelligence
Now suppose we d like to provide a data input mechanism for the Excel table that does not show all the duplicate values that are contained in an Excel column Figure 3-9 shows how we can configure just such a mechanism, which may be important when we consider that an Excel column could have thousands (or millions!) of rows of data, and we just want to choose from unique values for data input on new rows
1 Click the column A header of the Excel table to designate it as the source
column for this Advanced filter 2 Click the Advanced option in the Sort & Filter menu group, on the Ribbon menu Data tab 3 Choose the Copy to another location option button in the Advanced Filter dialog box
