Click to reverse sort order
FIGURE 13-3
Specifying the sort order
5 Click Next to move to the next dialog box, which is another one unique to the Report Wizard, which asks if you want to sort your records within the groups in other than primary key order The groups are automatically sorted in ascending order by the group field value Figure 13-3 shows a sort specified by Date in ascending order You can sort on up to four fields by clicking the arrow next to the sort box and choosing the field from the list If you want the sort in descending order, click the Ascending button to the right of the sort box When you are done, click Next
TIP The fields needn t all be sorted in the same order You can sort by one field in ascending order
and the next in descending order 6 In the next dialog box (see Figure 13-4), you select the layout you want for the report and the print orientation If you select a lot of fields, you might want to change the orientation to landscape Select a format and look at the sample in the left pane For this report, select Align Left 1 and click Next
TIP An option also asks the wizard to adjust the width of the fields, so they can all fit on the page
This might result in losing characters in the column headings or currency symbols in the field data, but you can adjust the column widths later in Design view 7 The next wizard dialog box offers six different styles from which to choose The styles apply to the font size and style, the line spacing, and color much like with the Form Wizard but are more suited to printed output As you select each style, an example is displayed in the sample pane on the left Select the desired style and click Next

Using the Report Wizard
FIGURE 13-4
Choosing the report layout and orientation
8 The final dialog box is the same as with the Form Wizard: You give the report a name and choose whether to view the report or go directly to Design view Enter Alpha Entry by Code Report as the report name and click Finish Figure 13-5 shows a Print Preview of the Alpha Entry by Code Report generated by the Report Wizard If you also want an interpretation of the code to appear with the code number in the group header, add the Description field from the Penal Codes table to the query
Creating a Three-Table Report with the Report Wizard
When you use the Report Wizard to create a report based on two or more tables or queries, you can specify which table contains the main data and which contains the subordinate data In the example in this section, the Alpha Card table is specified as the parent table and the Alpha Entry table as the related child table The Entry Explanation table, which is related one-to-one to the Alpha Entry table, is also included The resulting report shows multiple Alpha Entry records for a single Alpha Card record
TIP When you choose fields from one or more tables, the Report Wizard automatically creates a
query, which is run every time to open the report The query is a SELECT statement that appears as the report Control Source property If the query is complex, you can save processing time by creating the query yourself and using it as the basis for the report To create the three-table report, do the following: 1 Double-click the Create Report by Using Wizard item on the Reports page, or open the New Report dialog box, choose Report Wizard, and then click OK
