If you decide you want to use the Office Assistant, it can offer help and tips, as well as answer questions relating to the Office program you re currently using Just like the list you see when you type a question in the question box, the Assistant can display the list, plus specific tips about using the features or keyboard shortcuts more effectively and a variety of messages The Office Assistant is an animated character with sound, which you can change to any one of the six characters that come with Office You can drag the Assistant anywhere on the screen to be less obtrusive You can also set many options to customize the Office Assistant to match your needs
Showing and Hiding
To open the Office Assistant, choose Help | Show the Office Assistant If the Office Assistant hasn t been installed, Access asks if you want to install it now Click Yes You could be prompted to insert the Microsoft Office CD To hide the Office Assistant, right-click the character and choose Hide from the Shortcut menu You can also choose Help | Hide the Office Assistant to close the assistant To close the Office Assistant balloon, click the character
Setting Office Assistant Options
To customize the help offered by the Assistant, you can change some of the options If the Assistant balloon is visible, click Options to display the Options dialog box (see Figure 16-12) If the balloon isn t visible, right-click the character and choose Options from the shortcut menu To prevent the Office Assistant from appearing at all, clear the Use the Office Assistant option The other options, except for the Reset my tips button, become unavailable

Help with wizards makes the Office Assistant available to help when you re running
an Access wizard An option at the bottom of the final wizard dialog box offers this choice
Display alerts displays messages from Access in the Assistant window instead of a
message box, if the Assistant is open
Select the Search for both product and programming help when programming option if
you want both Access and programming help when generating VBA code
Move when in the way moves the Office Assistant out of the way of other screen
elements, such as dialog boxes
If you have a sound card and speakers installed, Make sounds turns on the sound
effects for the Assistant The sounds vary with the character The selections in the Show tips about group tell the Office Assistant what types of tips to display
Using features more effectively displays tips about getting the most from Access
features
Using the mouse more effectively displays tips about speeding up your work with the
mouse
Keyboard shortcuts shows you shortcut key combinations that can also speed up your
work
Selecting Only show high priority tips displays only important tips, such as those that
save time

Click the Reset my tips button to allow the Office Assistant to repeat tips already

Choosing a Different Assistant
To change the character used by the Office Assistant, click Options in the Assistant balloon, and then click the Gallery tab (see Figure 16-13) Use the Next and Back buttons to preview each of the alternative characters, watch their actions, and hear the accompanying sounds When you find the one you want, click OK Access asks if you want to install the new Assistant Click Yes to install it After the change of character, the Office Assistant dialog box closes and the new Assistant appears on the screen

This chapter has given you an overall view of the changes you can make to your Access environment using several different tools Most of the customization deals with the appearance and behavior of Access and its objects, such as rearranging the desktop and creating shortcuts to commonly used objects The many options available in the Options dialog box are discussed and the valid settings are listed You can also change the way Access starts by specifying a startup form and a custom title bar and icon The Office Assistant is a helpful tool when you re first learning how to use Access You can even customize the Assistant by changing the options or installing a new animated character Once you become familiar with the basics, you can eliminate the busy Office Assistant The next chapter concentrates on improving Access performance, especially with large databases It discusses using the Access Analyzer Wizards and the Database Utilities to streamline your database and ensure reliability
