Entering and Editing Data
To delete a hyperlink address from a field, right-click the hyperlink and choose Cut from the shortcut menu or simply move to the hyperlink and press Delete You can also point to Hyperlink in the shortcut menu and click Remove Hyperlink
TIP Although Access removes the hyperlink address without asking for confirmation, you can
easily restore it by clicking Undo or choosing Edit | Undo Delete If you want to delete all the hyperlink addresses you inserted in a field, delete the field from the table design
Customizing Data Entry
Data entry is, by nature, a time-consuming task Access offers many tools to help improve its efficiency, some of which minimize the data entry process, while others assist in navigation in a datasheet or give you access to special symbols The basic rule is The more help you can provide, the better
Adding Custom Input Masks
An input mask is a field property similar to the Format property, but with a different purpose An input mask displays a fill-in blank for data entry, while a format is used to display field data with a consistent appearance Setting the Format property affects how data is displayed after it s entered and offers no control over or guidance for the data being entered Input masks can be used with Text, Number, Date/Time, and Currency fields To decide between a Format property and an Input Mask property, use the following guidelines:
If you want to make sure the field values look the same when displayed, use the
Format property to specify the desired appearance
If you want to have some control over data entry, use an input mask to guide data
entry and make sure it s entered properly An input mask appears when the insertion point reaches the field, before any data is entered The mask displays fill-in blanks with literal characters separating them When you use an input mask, you can be sure the data fits the specifications you set by limiting the number of fill-in spaces Depending on the characters you use in the mask, you can leave some fill-in spaces blank, but you cannot add more characters than spaces An input mask also can specify what kind of values you can enter in each space Telephone numbers offer a good example to show the difference between Format and Input Mask properties
The format (@@@) @@@-@@@@ displays nothing on the screen before data is
entered and displays (619) 555-8867 after you enter the phone number
The input mask (000) 000-0000 displays (___) ___-____ before data is entered
and displays the same (619) 555-8867 after the number is entered The previous format displays the literal characters and the characters you enter or it leaves the spaces blank if no character is entered, but only after the record has been saved
Part I:
Getting Started
The input mask contains zeros, which require that all entries contain the right number of digits (and only digits) to represent a United States telephone number
CAUTION If you set both a display format and an input mask, Access uses the input mask for
entering and editing data, and the format setting for displaying entered data If your results don t look quite right, you might have specified conflicting settings You can create an input mask for Text and Date/Time fields with the Input Mask Wizard If you want an input mask for a Number or Currency field, you must create it manually To create an input mask with the Input Mask Wizard, move the insertion point to the field in table Design view and click in the Input Mask property Then do the following: 1 Click the Build button ( ) at the right of the field s Input Mask property The first Input Mask Wizard dialog box opens (see Figure 6-4) where you can select from a list of ten predesigned input masks appropriate for commonly used fields The Try-It box shows how the mask works when displayed in Datasheet or Form view Access might prompt you to save the table design before opening the first dialog box 2 After selecting the mask similar to the one you need, click Next to move to the second dialog box In this dialog box, you can make any necessary changes to the mask, such as changing the placeholder that displays as the fill-in blanks (the default is an underline character), and then click Next 3 Choose to store the literal characters with the data, if desired This uses more disk space, but the symbols are available when you want to use the value in a form or report, rather than having to specify them in the field format in the form or report design 4 Click Finish to close the wizard
