Starting new report in Design view
Adding Headers and Footers
A report design can include pairs of header and footer sections: Report Header and Footer for printing information at the beginning and end of the report, and Page Header and Footer for printing information at the top and bottom of each page To add a header/footer pair, right-click in the report design and choose Page Header/Footer or Report Header/ Footer from the shortcut menu To delete the header/footer pair, repeat the shortcut choice If any controls are in the section you try to delete, Access displays a message asking if you want to delete all the controls in the sections Click Yes to delete them or No to abandon the deletion
C AUTION All deletions are permanent Always save a copy of the report design before you delete
controls or sections so that you have a design to fall back on Then, if you change your mind, you don t have to start over You can also close the design without saving the changes and open it later in its original condition before the deletions

To change the height of a section, drag the lower section boundary up or down If the section contains controls, you can t shrink it beyond the control borders To keep from having too much blank space when you print a report with no information in the header or footer, shrink the height by dragging the lower boundary up or by setting the Height property to 0 You do not need to select the section first to drag the boundary
TIP If you selected the section and the Property Sheet is open when you resize the section, you can
see the Height property value change as you drag the boundary To suppress the printing of a section that contains information, set the section s Visible property on the Format tab of the Property Sheet to No The section still appears in Design view; it just doesn t print

Customizing Reports
The Page Header and Page Footer report properties on the Format tab of the Property Sheet specify whether to print the information on the first page with the report header or on the last page with the report footer Following are the settings for both properties: All Pages Prints the information on every page Prints on all but the first page Prints on all but the last page Prints on all pages except the first and last Not with Rpt Hdr Not with Rpt Ftr

The Report Header section contains a title and the current date The title was added by clicking the Title tool in the Controls group on the Design tab The page header has been reduced to zero height and the page number has been added in the center of the page footer You need to scroll down the report to see the page footer (To review how to insert dates and page numbers, see 13) A line control was added to the bottom of the Detail section to separate the detail information of each record Finally, the Flow style was chosen from the AutoFormat dialog box You may notice a slightly different page number control in the page footer This is the result of choosing not to print the page number on the first page The expression is =IIf(([Page]>1), Page & [Page], ) This means that if the page number is greater than 1, print the word Page followed by the page number If the page number is not 1, leave the page number blank Figure 14-4 shows the report in Print Preview
