When you decide to add a chart to a form or report, you must first understand the purpose of the chart Do you want to point out trends over a period of time or compare the relative values summarized by groups For example, suppose the local police department is interested in the increase or decrease of violent crimes over the last four years This type of chart would involve tabulating the number of crimes reported during each year and displaying the results as a column chart or a line chart The police are also concerned with the crime rates in different areas of the city Such a comparison can be illustrated with a bar or column chart, as well as a pie chart in which each area is represented by a slice of the pie Other decisions that must be made during the planning stage are whether to embed the chart in the form or report or to create a freestanding chart that can be available to more than one form or report If you embed the chart in the form or report, you can link the chart to data in the underlying table or query and the chart then changes for each record If you want the chart to remain the same as you move through records, leave the embedded chart unlinked If you create a chart in another application, such as Excel, you can import the chart to your form or report On the External Data tab s Import group, click the Excel command and specify the source and destination of the data You can also click the Unbound Object Frame command in the Controls group to place the frame in the form or report and then copy the chart to that

Creating Charts and Graphs
Many other types of charts can show comparisons among data groups For example, Figure 15-2 shows the same data displayed in an exploding pie chart Many of the same elements appear in this chart, in addition to a few new ones: a legend, a slice, and data labels Data labels can be displayed with the percentage of the whole that the group represents, as the figure shows or with the data name or both

Another reason to include charts in a form or report is to visually show trends over a period of time Figure 15-3, which uses data from the Police database, shows a line chart that tracks the number of crimes reported over a four-year period The crimes are grouped as violent or nonviolent and a legend is included that identifies the lines This chart includes data labels, which show the number of crimes at each data point on the lines The legend that appears to the right of the chart identifies the individual categories of information
