When you design a new database, you do the best that you can to reduce the redundancy of data by creating a set of related tables If you notice that your database has a table showing repeated values in a field, you can use the Table Analyzer to help you split the table The Table Analyzer can look at the data distribution, and perhaps, make suggestions for additional optimization, including adding more indexes and further normalization To start the Table Analyzer, on the Database Tools tab s Analyze group, click the Analyze Table command The first two dialog boxes provide a good description of the process of table optimization by first describing the problem and then showing possible solutions to the problem Each dialog box also offers a look at examples of the problems and the solutions Figure 17-1 shows the first of the two introductory dialog boxes Click one of the Show Me An Example buttons to get a picture of what the Table Analyzer can do The second Table Analyzer dialog box shows how it plans to solve the problem by splitting tables, so each piece of data is stored only once The third Table Analyzer dialog box shows a list of tables in the current database (see Figure 17-2) Select the table that contains repeated data and click Next In the next dialog box, you can choose to let the wizard decide how to split the data or do it yourself If you let the wizard decide, the next dialog box presents a diagram of the suggested redistribution of information

TIP If you expect to use the Table Analyzer often and don t want to see the two introductory dialog
boxes each time, clear the check mark next to Show Introductory Pages in the dialog box showing the list of tables If you want to see those boxes again, open the Table Analyzer and check the check box In Figure 17-3, the Table Analyzer found that the values in the ZipCode and City fields are repeated many times in the Police database Name List table It suggests that you create a lookup table for each field with a link from the new Table2 to the original Name List table and an additional link from the new Table3 back to Table2 Notice the wizard hasn t changed any table names: changing the table names is only a suggestion
TIP Click the Tips button (the light bulb icon) to get instructions about how to handle the wizard s
suggestions To change a table name, select the table, and then click the Rename Table button in the dialog box and enter a new name When you change the name of the related table, the wizard changes the table name in the linked field in the primary table to match If you change your mind about the new name that you entered for a table, click the Undo button next to the Rename Table button, and then enter a different name If the way the fields are grouped doesn t make sense to you, drag the field names from one table to the other to change them Click Next to move to the dialog box in which

you verify the primary key fields are correct (see Figure 17-4) The wizard has, by default, added a unique field to each new table and corresponding linking fields Each of the new tables has a designated primary key field, but Table1 (Volunteer Staff) has no primary key field You can specify a primary key for Table1 in two ways: Select an existing field that you know has unique values and click the Set Unique Identifier button The key symbol appears next to the field name Select the table and click the Add Generated Key button A new Generated Unique ID field is added to Table1 After adding key fields, click Next In the final dialog box (Figure 17-5), the wizard offers to create a query for you that uses the same name as the original table and looks like the original table Allowing the wizard to do this lets you work with the data all in one place and guarantees that all of the forms and reports that you created using the original table as a basis will continue to work properly You can also choose to create this query yourself, if you prefer If you choose to decide which fields to place in which tables (refer to Figure 17-3), the next dialog box shows only the original table without the new Table2 You can create the new table by dragging a field name from the list in Table1 You can also rename the tables and define the primary key field for the new table using buttons in the dialog box After you click Next, the wizard offers to create a query for you as before
