As soon as more than one user can open a database at the same time, someone should be assigned as the database administrator (DBA) The DBA is responsible for ensuring the integrity and security of the database Among the issues that must be addressed by the DBA are the following: Controlling read/write access to the data Setting up user groups with the appropriate levels of access and security Adding new users to a group and removing users from a group Ensuring accurate, current record data and minimizing data-locking conflicts Editing database objects as necessary and ensuring that all users have current versions Backing up and compacting the database

Part IV:
Exchange Data with Others
exclusive access to a record is called record locking When a data page (a unit of data storage), recordset object (a table or query), or a database object is locked, it s read-only to all users, except the user who is currently entering or editing the data in it Access provides three levels of record locking, ranging from no locks at all to locking all the records in the recordset You can set the default record-locking scheme in the Advanced group of options on the Advanced page of the Access Options dialog box (Figure 24-7) Choose the level you want to use, and then check the Open Databases by Using RecordLevel Locking check box With record-level locking in effect, Access locks only a single record in the currently open database This applies to accessing data in datasheets and forms If you clear this check box, page-level locking becomes the default This setting does not apply to action queries or SQL statements
Set Default Record Locking
The Default record-locking setting applies only to datasheet views of tables and queries If you want to set record locking for forms or reports, set the Record Locks property on the

Data tab of the object s Property Sheet, as shown next The choices are the same Setting record locks for a report prevents changes in records in the underlying table or query while the report is previewed or printed You can also set the Record Locks property for a query and override the default setting
PART IV
No Locks, the default setting when you start a new database, is called optimistic record locking because it s used where few record write conflicts are expected Access doesn t lock the record during editing The edited record is locked only at the exact moment it s being saved The assumption here is that one user will probably have completed saving the record before another user tries to edit it Using No Locks ensures that all records can be edited at any time, but it can also cause editing conflicts among the users When you try to save changes to a record another user has changed since you began editing it, a Write Conflict dialog box appears with the following options: Save Record changes Saves the record with your changes, overwriting the other user s Copies your version of the record to the clipboard for further
