he main purpose of database security is to prevent unauthorized access to the information, either for viewing or editing Security can also prevent design modifications by unqualified individuals Even the slightest change in a form design or a data validation rule can cause problems that can be difficult to locate and correct Security also blocks hackers from getting into and damaging the database and spreading viruses in the system Access 2007 has added many new security measures that make it easier to apply security and to use a secured database The new Trust Center was created to provide a central location to maintain security within folders that are designated as trusted locations

The following are a few of the new security features that make it safer to manage information in a database: You can browse in the database without having to enable the Visual Basic for Applications (VBA) code and macros that may contain damaging actions You can set up a trusted location and place database files in it Then you don t have to enable the database each time you want to use it With the new Trust Center page in the Access Options dialog box, you can set and change all of the security settings in one place You can encrypt a database with a password to keep others from accessing the data and objects In Access 2007, when you open a database that is stored in a trusted location, you won t see the Security Warning message box and the macros are enabled If an earlier version of the database contains a valid digital signature from a trusted publisher, you can trust the contents If you use a database from an untrusted location, it is disabled by default, and you must enable it each time that you open it

Enabling/Disabling Database Content
As you saw in earlier chapters, when you open a database, you often see the Security Warning message bar that tells you that certain contents within the database have been disabled You can click the Options button to view your alternatives in the Microsoft Office Security Options dialog box (Figure 25-1) You can leave the database content (VBA macro in Figure 25-1) disabled and continue to work with the database If you trust the source of the database, you can choose to enable all the potentially harmful contents When you close the database, all the contents are disabled again, and the next time you open the database, you ll have to enable them
NOTE You can close the Security Warning message bar without making a choice by clicking the
Close button (X)
Encrypting the Database
The encryption security tool combines encoding the database with requiring a password to open it Encryption actually scrambles and compacts the database so that it is completely unreadable by a word processor or any utility program Encrypting a database does not

restrict access to database objects, but to open the database, the user must first enter a password Decrypting the database reverses the process and restores it to its original form
Encrypting with a Password
To encrypt the database, you must first open it in exclusive mode from the Open dialog box by doing the following: 1 Click the Microsoft Office button and click Open 2 Locate and select the database in the Open dialog box Then click the Open down arrow and choose Open Exclusive from the drop-down list 3 With the database open, on the Database Tools tab s Database Tools group, click the Encrypt with Password command 4 In the Set Database Password dialog box, enter the password and press tab Enter the password again to verify it
5 Click OK
PART IV
To open an encrypted database, you will be required to enter the database password and click OK
About Security Problems with Linked Tables
Security problems might occur if one of the tables in a password-protected database is linked to a second database that does not require a password The password for the first database is stored with the linking information in the second database Any user who can open the second database can also open the linked table in the protected database The password is also stored in an unencrypted form in the unprotected database, making it readable to any user
