To sort by more than one field, the sorted fields must be adjacent in the datasheet In addition, Access uses a sort precedence from left to right, so the records are sorted first by the values in the left column If duplicate values appear in that column, a secondary sort is performed on those records by the values in the next column to the right If the columns involved in the sort

Sorting, Filtering, and Printing Records
aren t adjacent or are in the wrong relative position in the datasheet or subdatasheet, you must move the columns before sorting the records When all are in position, select the columns you want to sort on and click one of the Sort commands or choose a command from the shortcut menu The Employees Last Name and First Name columns are repositioned and selected, ready to sort by values in those fields The records are sorted first by Last Name, and then, where these names are the same, by First Name

Saving the Sort Order
If you close the table after sorting the records, Access asks if you want to save the changes to the design (this includes the sort order) Responding No saves the table in the original, primary key order Responding Yes saves the sort order with the table and, the next time you open the table, the records appear in that order In addition, any new forms or reports you create based on the table inherit the sort order and apply it to the new object
Filtering Records
When you want to see only certain records in your datasheet, subdatasheet, or form, you can filter out those you don t want to see The filter process screens the records and lets through only those that meet your criteria The criteria is a set of conditions you specify to limit the display to a certain subset of records

Filtering can help you save time by displaying only the records that are important to you at the moment Filtering doesn t remove the records from the table, it only removes them from your view of the table A filter consists of conditions you specify, which can be as simple as all the records for work orders in October 2007 or as complex as all bids submitted during June or July that exceeded $750 and were awarded within 30 days of the bid offer The difference between finding records and filtering records is this: when Access finds a record, the cursor moves to the record and all the others remain on the screen With a filter, the nonqualifying records are removed from the screen, leaving only the records you want to see They all remain in the table, however In Access, you have four ways to filter records, depending on the conditions you want to set and whether you want the records sorted in a particular order: Common context filters are available in the shortcut menus depending on the field type Filter By Selection leaves only the records with the same value as the one you select in one of the records or the records that don t include the same value Filter By Form screens records with the criteria you enter into a table skeleton Advanced Filter/Sort gives you, in addition to filtering, the capability of specifying a complex sort With a complex sort, you can sort the records by two or more fields using different orders ascending or descending When the records you see on the screen are the result of a filter, Access reminds you in four ways that you aren t viewing the entire table: The status bar displays Filtered The Record Navigation bar gives you the number of records qualified by the word (Filtered) The Toggle Filter command is highlighted and its ScreenTip has changed to Remove Filter A funnel icon in the column header of the filtered field displays a ScreenTip with the condition of the filter
