To avoid the issue or possibility of two (or more) users attempting to modify a document library item at the same time, items should be checked out by a user wishing to make modifications to it Only one user can check out a library item at a time, much like a library book from a public library Until the user checks the item back into the library, by saving it to the library, the document is unavailable to other users, except for read-only actions A user is required to check out a document before he or she can edit that document Figure 18-16 shows the dialog box that appears when a document is opened from a library If you are opening the library item to make changes to it, you must check the item out This checkout status remains in effect until the document has been checked in or the checkout has been discarded TIP A document that has been checked out will have a padlock symbol added to its document template icon in the Document Library display

ACCESS SHAREPOINT DOCUMENTS USING A URL
Document libraries in an MOSS environment are compatible with the Web-based Distributed Authoring and Versioning (WebDAV) protocol, which allows them to be accessed and be mapped as network drives However, this process is fairly complicated and should be reserved for those users who author a great deal of content published to a SharePoint library A far simpler method to access a SharePoint Document Library is to use the URL of the library directly from within Microsoft Word 2007, or from any other Microsoft Office application To access the page of a SharePoint Document Library from Word, do the following: 1 Launch Microsoft Word 2007 2 Click the Office button in the upper left corner and choose Open on the Office menu 3 Enter the URL of the SharePoint page you wish to open into the File Name field (as illustrated in Figure 18-20) 4 From the contents shown in the main pane of the Open dialog box, you can choose a document library to view its contents (see Figure 18-21) in that pane and choose the specific document you wish to open 5 Double-click the Word document you wish to open 6 The document opens in a special window that is used for viewing the document only If you wish to edit the document, you must check out the document using the button located just below the menu bar (shown in Figure 18-22)
