Adding a metadata column to a library can greatly increase the usability of the library and improve the efficiency of users trying to locate one or more specific files A metadata column allows a user to quickly locate the files in a library that she or he wishes to access Using a library s metadata columns, MOSS users can filter and sort a library s files to create a list of only the files they wish to see NOTE The use of views and metadata has an entire chapter dedicated to it in this book See 17 for more information To add a metadata column to a SharePoint library, perform the following steps: 1 Navigate to the SharePoint page containing the library to which you wish to add a metadata column 2 Click the View All Site Content link at the top of the Quick Launch menu 3 Click the Name of the library, and on its home page click the Settings option to open its drop-down menu 4 On the Settings menu, choose Create Column (see Figure 11-8) 5 On the Create Column: Documents page, shown in Figure 11-9, enter values for the following fields: a Enter a descriptive name for the column in the Column Name box b For The Type Of Information In This Column Is entry, select the Single Line Of Text radio button Single line of text is the information type used for metadata columns c Scroll down the page to the Additional Column Settings area (see Figure 11-10), and select Yes for the Require That This Column Contains Information setting to ensure that when users add new files to a library, information is added to the metadata column

Use Metadata to Find Library Files
As discussed earlier in the preceding section, a library configured with a metadata column can make a user s file search more efficient This is especially true when a library contains a large number of files Without the use of a metadata column, the user would have to visually scan the list of documents on a library s home page While the number of files in the following example would enable a user to perhaps just find a file visually, this example demonstrates how filtering library columns can be used to locate specific files: OBJECTIVE Locate the Garmin eTrex Vista CX GPS Quick Reference Guide using metadata columns in a SharePoint library Figure 11-11 shows the documents in the example library 1 Click the Topic column heading to display its options and defined metadata values Choose GPS to display only those documents that have GPS in their metadata column, as illustrated in Figure 11-12
