Working with Other SharePoint Elements
While lists and libraries demand a large amount of attention due to their widespread use, SharePoint offers six other elements that can be useful for their function These are alerts, blogs, discussions, surveys, meetings, and workflows While these are not all in the same category or at the same level of importance, they are brought together here as useful elements of SharePoint They will all be discussed in this chapter in terms of how they are created and how they are used
Set Up and Manage Alerts
SharePoint alerts tell you if something has changed You are told via e-mail, and the something can be:
A change to a list or to a library A change to a list item or to a library document A change in the results of a search

CAUTION
Depending on the size and activity within your organization, SharePoint alerts can generate a lot of e-mail, and it is recommended that you cautiously set up alerts, or you may be inundated with e-mail
Set Up Alerts
Alerts are set from the individual element for which you want to be alerted So we ll separately review alerts for lists and libraries, items and documents, and searches
SET UP ALERTS FOR LISTS AND LIBRARIES
Lists and libraries can alert you when:
New items or documents have been added Existing items or documents have changed Existing items or documents have been deleted
To set an alert for a list or library:
1 Navigate to the list or library, and click its title to open it in its own page 2 Click the List or Library tab in the ribbon, click Alert Me in the
Share & Track group, and then click Set Alert On This List or Set Alert On This Library The New Alert page will open, as you can see in Figure 6-1
3 Enter an alert title This is in the subject of the alert e-mail 4 In the Send Alerts To box, enter the user names and/or e-mail addresses
of the people to get the alert, and in the Delivery Method section choose whether to send the alert via e-mail or text message
