here s communication, and then there s (or should be) effective communication Communication is the simple exchange of information between two or more parties Basically there s the sender of the message, the receiver of the message, and the message itself These are three of the seven components that make up the communication model For the communication model to be effective, we must add a few more elements For example, the information needs to be encoded (translated into thoughts or ideas that can be understood by others) by the sender The sender then needs to select the appropriate method (or vehicle) to send (convey) the message for example, a medium such as e-mail, letter, text message, touch, or phone call Then the receiver needs to decode the message (translating it back into understandable meaningful thoughts and ideas) Ideally the receiver then provides feedback to the sender in the form of either an acknowledgement or additional questions to clarify the message The intent is to have a communication circle of a clearly understood actionable exchange of information, ideas, or directions that produce the desired results (see Figure 10-1)

Now let s talk about effective communications on which the project manager needs to focus Communications instructor Michael Starling offers the following insight (from a 2009 webcast): Effective communications is a connection between people that allows for the exchange of thoughts, feelings, and ideas, which leads to understanding [1] For the communication to be successful, it also helps if all parties have a common language and similar knowledge of the topic For the message to be clear and understood, there should be minimal noise (or interference) with the transmission of the message Examples of noise include unfamiliar terms, lack of background information, distance (temporal or physical), and environmental factors (phones ringing, crowed room, and so on) Because communication is so important in managing projects, you are likely to see several questions on the PMP exam concerning communication in areas such as risk management, scope management, and status reporting
