The best way to organize the work of the Define Activities process is with a milestone list A milestone, as you may recall from 5, is a major event on the project Think of the milestone list as an outline (high-level view) of the deliverables of the project The milestone list will help the team focus on the deliverables identified in the Create WBS process, and it helps promote discussion and synergy from the team to get you to the next level of detail (activities) It also serves as a very effective input tool for the PM to generate a monthly milestone report The milestone report can be used to communicate success or concerns of overall progress on the project to upper-level managers Additional details are provided on the milestone report and other reports in 10 The milestone list should also identify whether the milestone is mandatory (such as those required by contract or by outside agencies) or optional (such as those based on similar projects or historical information) Take a construction project as an example, where the milestone list ties to the major handoffs (changeovers) between the different subcontractors It is important to be keenly aware of the scheduled completion of a major milestone, such as the foundation being complete and ready for the framer In our example, such handoffs require city inspections and signoffs prior to the project going to the next phase If you don t receive signoff from the inspector for the framework of the building, you cannot move onto the electrical and plumbing phases You may lose valuable time, not to mention get a bad reputation, if you are not able to keep the project on schedule (see Table 6-1) Milestone
