6: Project Time Management
Reporting Schedule Status
Different styles for different stakeholders is an easy way to think about the type of report to use (as well as format and frequency) when reporting the project schedule This topic will be discussed in more detail in 10 There are a few things to think about before you set up your status reports Some project managers when asked, Are we on schedule are so detail oriented they are quick to tell you how to build a watch rather than just tell you the time of day Too often we feel the need to tell the whole story rather than the only-the-facts version This is especially true on project status reports keep them short and to the point This is where milestone charts are great for reporting status to middle- or executive-level managers Remember there are times when less is more Less information as long as it is the right information is often more than enough detail to get the message across The key is to know your audience know what their interests are and be sure to work on providing the right information, as needed, in a suitable format For example, a dashboard report provides a great way to show high-level status It is difficult to stay focused on the overall project schedule if you are trying to manage time only You must be able to manage both time and the overall project sequence of activities to bring the project in on schedule
Types of Schedule Reports
As you know, a number of report types and styles are available to present the status of a project schedule Most PMs send the current copy of their project schedule as a Microsoft Project (mpp) file This is easy to do; however, not everyone on the team or your sponsors will have licensed software to view Microsoft Project files This or any other scheduling software can be expensive Fortunately, most software products today allow you to save the file in HTML or other viewable formats, such as exports to Microsoft Excel or other software that allows you to view files from other applications
Ask the Expert
Q: A:
When should I baseline the project schedule The sooner you baseline, the better (as mentioned in 5) The longer you wait, the more changes will likely occur, thus making the schedule end date a moving target When there are many changes, you need to document, verify, and obtain formal acceptance of the target date Once the target date is approved, you should baseline the schedule and use change control, which will give you an opportunity to renegotiate a new adjusted target date and re-baseline the schedule when changes are likely to move out the project completion date
