When money is tight or you re interested in meeting financial goals, it s time to create a budget and monitor your spending. But if you re serious about managing your money, you might want to create a budget before you need one. While Quicken s categories give you a clear understanding of where money comes from and where it goes, budgets enable you to set up predefined amounts for each category, thus helping you to control spending.

In this part of the chapter, I tell you how to create a budget and use it to monitor your spending habits. I also explain how to create a forecast so you can glimpse your financial future.

The idea behind a budget is to determine expected income amounts and specify maximum amounts for expenditures. This helps prevent you from spending more than you earn. It also enables you to control your spending in certain categories. For example, say you realize that you go out for dinner a lot more often than you should. You can set a budget for the Dining category and track your spending to make sure you don t exceed the budget. You ll eat at home more often and save money. In this section, I explain how to set up a budget and use it to keep track of your spending. I think you ll agree that budgeting is a great way to keep spending under control.
Organizing Categories into Groups
Budgets are based on transactions recorded for categories and subcategories. (That s why it s important to categorize all your transactions and not to the Misc category!) Quicken also enables you to organize categories by category groups. Although you don t have to use the Groups feature when creating your budget it s entirely optional grouping similar categories together can simplify your budget. You can see the group to which each category is assigned in the Group column of the Category List window (see Figure 18-2). Choose Tools | Category List to display the window. If the Group column does not appear in your list, choose Show Category Group from the Options menu at the bottom of the window to display it.
The Default Groups By default, Quicken includes several category groups that it
assigns to the categories it creates when you first set up your Quicken data file:
Income is for earned income, such as your salary, and miscellaneous income items, such as interest, dividends, and gifts received. Discretionary is for expenses you can avoid (or at least minimize), such as entertainment, subscriptions, and vacation.
Quicken 2009 The Official Guide
Mandatory Expenses are expenses you can t avoid, such as fuel for your car, groceries, rent, and insurance.
In addition, if your Quicken data file includes business-related categories, Quicken includes Business Income and Business Expenses groups to track the income and expenses from your business.
Assigning a Group to a Category You can assign a group to a category when you create or edit the category. In the Category List window (see Figure 18-2), either click New or select an existing category and click Edit. The Set Up Category or Edit Category dialog appears. Click the arrow next to the Group box to display the Group drop-down list, which is shown here, and choose a group. When you click OK, the group you chose is assigned to the category. Assigning Groups to Multiple Categories
You can also assign groups to multiple categories at once. Choose Assign Category Groups from the Options menu at the bottom of the Category List window (refer to Figure 18-2). The Assign Category Groups dialog, which is shown on the next page, appears. Select a category name from the Category Name list, select a group name from the Category Group List, and click the Assign Category To Group button. Repeat this process for each category for which you want to assign a group. To assign a group to multiple categories at the same time, you can hold down the CTRL key while clicking each category to select multiple categories; then choose the group and click the Assign Category To Group button. When you are finished, click OK.
Modifying the Category Group List You re not stuck with the group names built into Quicken. You can add new group names or modify existing group names:
In the Set Up Category or Edit Category dialog (shown earlier), choose New or Edit from the Group drop-down list. Then use the dialog that appears to add, modify, or remove a group name.
