More About Transaction Download
Quicken makes a distinction between two types of downloaded transactions:
Online transaction instructions are those transactions that have been sent to your financial institution but have not yet cleared your account. For example, suppose you used your bank s Web site to pay one of your bills. This transaction is in your bank s computer server, but it hasn t been completed or cleared. When you download transactions for that account, Quicken downloads the payment instruction so you can record it as an upcoming payment in your account. Cleared transactions are those transactions that have cleared your account and are included in your current account balance. For example, suppose you made a deposit at the bank. As soon as the bank accepts the deposit, the deposit is said to have cleared and is included in your current bank account balance. Cleared transactions can include deposits, checks, online payments, ATM transactions, debit card transactions, bank or interest fees, and interest earnings.
When you instruct Quicken to download transactions, it actually performs two tasks while talking to your financial institution s server. First, it asks for all of the online transaction instructions the financial institution has received since the last time Quicken connected. Then it asks for all of the transactions that have cleared since the last time Quicken connected. If transactions exist in both groups, Quicken displays them for review and approval separately. You can tell that a download includes online payment instructions because links labeled Online Payments and Cleared appear in the Downloaded Transactions tab, as shown in Figure 6-4. You must review the online payment instructions before you review the cleared payments. Although you can review them each individually, you can quickly accept them all by clicking the Accept All button at the bottom of the window and letting Quicken assign categories when it can. You can then review and accept downloaded transactions, as I discuss in the section titled Comparing Downloaded Transactions to Register Transactions, later in this chapter.
