The system manager often has the need to post messages to all users connected to the system for administrative functions, such as for informing them of the time the system will be shut down for maintenance, backups, and so on. For that purpose, the R/3 system includes a utility for administrators to post brief messages to users by selecting Administration System messages from the main administration menu. Alternatively, they can enter transaction code SM02 in the command field. If there are no messages created, the system will display the screen indicating that the system message list is empty. To create a system message, click on the Create icon on the application toolbar. The system displays a dialog box like the one shown in Fig. 10 4. Enter the message in the input text lines provided for that purpose. Users can create as many messages as they wish, with a maximum length of three lines.

By using the expiration fields provided you can decide when a message will automatically be deleted from the system. The system displays the message as a pop up box in the user sessions. It will display it only once to each user, either when they log on or, for users who are already logged on, as soon as they interact with the application server. Before continuing to work, users must clear the messages by pressing the Enter key or clicking on the Continue icon. When there are messages already created, users can change the message either to modify the text, change the expiration date, or the server. Individual messages or all posted messages can be deleted from the system by selecting them and clicking on the Delete icon.

The update work processes are in charge of making and recording the changes in the SAP underlying database as users work normally in the system. The update work processes perform their functions when the ABAP applications are programmed with the statement IN UPDATE TASK. This type of updating is performed asynchronously in the system, meaning that the programs leave update records in a queue to be processed and then continue the execution. The following section discusses the main concepts related to the update processes. Normally, the updating processes run without management intervention; nevertheless, R/3 includes utilities to monitor, check, and perform management operations on the updating process, which can be very useful in case problems arise. When updating errors occur, normally the user requesting the update receives an express SAP message and an alert is triggered in the CCMS monitor. The update functions are located under the administration menu, and then Monitor Update. Alternatively, enter transaction code SM13 in the command field. The system displays the initial update screen as shown in Fig. 10 5. From this initial update screen, you can perform the following functions: Display the system update records with error status or which have not yet been processed Activate and deactivate the updating in the whole SAP system Display update statistics Display the data on the erroneous update records and reprocess them, either in real or in test mode Send waiting update records for processing after a deactivation/activation of the updating Delete update records
