A search help is technically a special dictionary object that came with R/3 release 4.0 for simplifying and replacing previous matchcodes (although for compatibility reasons matchcodes still exist). Functionally, search helps are a tool for helping users to find the records they need. Search helps are made up of a collection of search terms. More information on search helps can be found in Chap. 8. When an input field has a little triangle in the lower right hand corner you know it has an associated matchcode (see Fig. 5 21). When the input field has a an associated search help, positioning the cursor on it first displays the possible entries arrow. For example, when looking for a specific material, users might not know the material number, but they might remember the provider, the class, the type, the old name, or the description. Materials have a very large number of associated fields. Search helps provide a method of simplifying the search, so users can find the desired value using the search method they know best.

The use of wildcards is allowed. For instance, in Fig. 5 23, you could enter b* in the description field, and the system would display all materials whose descriptions start with a b. The R/3 system includes many predefined search helps, but developers or the data dictionary administrator can create new ones. There are two methods for using search helps in the R/3 system: the simple method is the normal way to find values for a field when users do not know which search help to use. The fast method is for experienced users who already know the search help to use and also the order of the search terms in the search help.

As stated before, the simple or normal method for using search helps is when users do not know which ones are available in a field. In such cases, users can find the search help by the following method: Position the cursor in a field with search help and click on the possible entries arrow or press the F4 function key. A dialog box with a list of available search helps appears in front of the R/3 screen, like the one in Fig. 5 22, which shows the search help list for the material number field. If users have previously used this search help and have selected it, then the system does not show the list of search helps but proposes that key by default without showing the list of search helps. Users can select another search help by clicking on the Other search help ( ) button. Then, just double click on a search help to use it. The selected search help will be the default one until users select another. Next time a user lists possible entries for this field, the selected search help will be proposed automatically. The search fields for the search help will appear in a dialog box, like the one shown in Fig. 5 23 for looking up a material number. Enter the known search terms and use wildcards if needed in the most adequate fields and then press Enter. If no search terms are entered, the system displays all the records for that search help. If the list is very large, you can reduce the number of hits by further restricting the value range. The system displays all records matching the search terms entered. If no records are found, review the criteria for the matchcode or select a different one by clicking on the Restrict values button. To transfer the value from the list to the input field, the procedure is the same as that in a possible entries field: just double click on a record or position the cursor over the record and press the F2 function key.
